Organization Description

The International Rescue Committee (IRC) Thailand country program was established in 1976 to assist refugees from Vietnam, Laos and Cambodia and currently assists refugees and migrants from Burma. IRC operates one of the largest and programmatically diverse humanitarian programs providing essential services to displaced populations in Thailand. Assistance programs encompass health, education, institutional capacity building, gender-based violence prevention and response, water and sanitation, advocacy, protection and legal assistance.

Responsibilities

Job Summary                    

Manage overall day-to-day office administration to ensure that  all services, facilities and utilities are in good condition at all times.

Handle in-coming and out-going communications (mailing and other communications) and assist the operations team tasks when required.

Job-Specific

Organize the meeting rooms and make sure that all meeting room facilities are properly equipped and maintained (LCD, board, copy machine, fax machine, etc.)

Update MS conference room bookings and share with people concerned on a weekly basis.

Ensure office management by monitoring and maintain the overall office cleanliness and orderliness.

Organize tracking and report operations team supplies.

Prepare payment requests for utilities and office management.

Update information for the bulletin board on a monthly basis or as and when required.

Assume the role of receptionist to facilitate visitors , vendors and staff.

Manage the central telephone line for call forwarding and transfers.

Sort and file all incoming/out-going faxes, parcels and mail.

Organize vehicle request for operations team on a weekly basis.

Assist Operations officer to arrange accommodation and/or transportation for staff/visitors, when required.

Assisting Operations team in general support such as bank transactions, document scanning and keeping the filing system up-to-date.

Position Requirements

Education

Dipolma in Business Administrative, Business English, Secretarial Studies or equivalent work experience.

Work Experience and/or Demonstrated Abilities

New graduate applicants accepted but applicants with some or 1 year of experience in a similar position preferred.

Ability to prioritise tasks, work under pressure and respond to urgent requests.

Good interpersonal and communication skills.

Skills

Computer literate with strong word processing skills and the ability to operate MS Word and Excel.

Language(s)

Good command of written and spoken English and Thai.

Preferred Qualifications

      - Previous experience working with refugees.
