Position Profile

The Operations Officer reports to the Thailand Deputy Country Director and Country Director.  The responsibilities listed below are inclusive, but not exhaustive, of the role. It is expected that the successful candidate will focus on assisting the Deputy and Country Director to manage all areas of AIP Foundation Thailand operations.  It is reasonable to assume that additional tasks will be requested, as and when needed.

 

Responsibilities

 

Key responsibilities

Manage Thailand office facilities, supplies and services

Coordinate Thailand office finance, human resource matters and liaison with Head Quarter

Coordinate Thailand office communications

 

Operations

Manage Thailand office finance processes

Consolidate all staff travel expenses for monthly reports with Finance

Control administrative expenses and prepare monthly and yearly report

Complete office assets inventory in collaboration with Finance

 

Manage Thailand office services and facilities

Manage purchasing of office supplies and equipment, and maintenance of facilities

Manage office rental payments and renewals

Manage compliance with office licenses and government reporting

 

Manage travel logistics for staff or visiting guests as required

Coordinate with Operations Assistant to arrange visas, resident cards, work permits

Coordinate with Operations Assistant to support program and fundraising team with travel requirements

 

Coordinate Thailand office HR requirements under supervision of Country Director

Manage Thailand payroll in coordination with Finance

Assist Country Director with all activities relating to HR

Manage Thailand office leave/absence records

Coordinate Thailand office staffing

 

Coordinate weekly staff meeting and meeting minutes

 

Communications

Coordinate Thailand office communications

Coordinate the creation and posting of content to AIP Foundation website and Facebook

Maintain Thailand office contact list for AIP Foundation newsletter

Coordinate Thailand office content for AIP Foundation newsletter

 

Development

Support fundraising activities per required

Attend fundraising meetings per required

Attend networking events in Thailand per assigned

 

Staff Management

Assign tasks and oversee the work performance of the Operations Assistant

Coordinate with the Operations Assistant to ensure all relevant Operations tasks are completed

 

Qualifications

University degree

Good written and verbal English

Two year experience in a similar role

Ability to prioritize while managing expectations

Flexible attitude

Excellent communication skills

Ability to manage multiple tasks

Commitment to AIP Foundation’s mission, vision and core values

A dynamic and professional individual with initiative
