Background/IRC Summary: 

The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises, helping to restore health, safety, education, economic wellbeing, and power to people devastated by conflict and disaster. Founded in 1933 at the call of Albert Einstein, the IRC is at work in over 40 countries and 26 U.S. cities helping people to survive, reclaim control of their future and strengthen their communities. The IRC has been operating in Thailand since 1975 and currently provides assistance to displaced persons in Tak, Kanchanaburi, Ratchaburi and Mae Hong Son provinces.

Job Overview/Summary:

The Administrative Assistant will be responsible for the provision of efficient, high quality operations and program support to all staff where this position is based, and provides administrative support to the team activities for running smoothly.


Major Responsibilities:


  • Provide administrative and operational support and assist to other IRC staff, and liaise with program staff on program administrative needs where necessary.
  • Assist Operations Assistant to organize the meeting rooms and make sure that all meeting facilities are properly equipped and maintained.
  • Answering and directing phone calls to relevant staff                                                                                                                                                             
  • Develop and maintain Administration and CBAs filing system.
  • Carry out administrative duties such as filing, copying, scanning and etc.                                                                                                                            
  • Take accurate minutes of Operations monthly meeting.                                                                                                                                                    
  • Assist Operations Officer to arrange accommodation and/or transportation for staff/visitors, when required.                                                                                                                                   
  • Assist Operations team with general support such as physical asset and inventory count, bank transfer, document scanning and maintaining an up-to-date filing system.                                                                                                                                                                                                              
  • Assist Human Resources and Administration Manager to submit documents to government agencies such as Immigration, Provincial Employment Office, Camp Office and etc.                                                                                                                                                                                                    
  • Coordinate with Supply Chain on behalf of the administration to receive goods and distribute to relevant staff.                                                                          
  • Perform other duties as assigned by Supervisor.


Duration of Work:  To support Operations Department from May 2019 – 30 Sept 2019


Job Requirements:

Education: Bachelor degree in a related field


Work Experience:

  • Demonstrate experience in administration and/or operational support role
  • Experience in working with NGO is an advantage


Demonstrated Skills and Competencies:


  • Quick learner with the interest and ability to assume new roles on a frequent basis
  • Ability to prioritize tasks and manage time effectively
  • Knowledge of filing methods and record keeping to maintain accurate information in alphabetical, chronological, and/or numerical order
  • Detail oriented
  • Good interpersonal and communication skills
  • Ability to exercise judgment and initiative
  • Ability to maintain confidentiality when handling sensitive information
  • Ability to work independently
  • Ability to respond quickly to program needs
  • Computer literate with strong word processing skills
  • Willingness to help and high levels of initiative

        Language Skills: 

  • Good command of written and spoken Thai and English is required
  • Knowledge of Karen and/or Burmese is desirable
