Team Purpose

 

Assist HR Team in providing HR operational support to the country programme by underpinning a work environment characterised by Oxfam’s culture, values and ways of working.

 

Key Responsibilities

 

HR Database Administration

  • Create new employee files
  • Ensure the employee data/documents are updated in employee files and HR drive
  • Enter employee data into the PSHR System and keep employee data up to date
  • Maintain current HR files/folders and databases

Recruitment and On-boarding

  • Create vacancy and advertise on job boards/websites
  • Arrange interview schedule
  • Coordinate/communicate with candidate regarding recruitment and selection
  • Contact new hired staff to prepare the on-boarding
  • Ensure the new hired documents are submitted to HR and follow new hire checklist
  • Activate new employee status in systems
  • Arrange the induction schedule and coordinate with operations team
  • Issue employee ID card for new employee
  • Support and assist recruitment and selection processes as assigned

Administration and other responsibilities            

  • Process the staff medical claim/reimbursement
  • Coordinate with medical service providers regarding medical bill statement
  • Prepare documents for payroll, provident fund, social security and tax as well as distribute pay-slip to staff
  • Enroll and terminate a Social Security Fund for staff in the Social Security Office system 
  • Ensure exit documents are completed and follow the checklist
  • Keep track the End Probation Review and Contract End Date
  • Assist to coordinate and process the consultancy contract
  • Assist to prepare the HR Training materials and tools
  • Assist to facilitate HR Training/workshop as assigned
  • Maintain First Aid kit and ensure First Aid stuff is not expired
  • Perform other HR duties as assigned by Senior Human Resources Officer

 

Skills, experience and knowledge

 

Essential

  • Experience in Human Resources or Administration
  • Details and deadline oriented
  • Excellent multi-tasking and organized skills
  • Computer proficient, excel, word, power point and demonstrate skills in database management and record keeping
  • Positive attitude and excellent service mind
  • Good interpersonal and communication skills
  • Good team player, Ability to work well under pressure
  • University Degree in Human Resources, Administration or related fields

 Desirable

  • Minimum 2 years work experience in Human Resources
  • Experience in a non-profit organization and international environment is preferable
  • Fluent in English communication of speaking, listening and writing
  • Skills in translation and minute taking is an advantage
  • Sound knowledge of Thai labor law is an advantage

  • Ability to demonstrate an openness and willingness to learn about the application of gender/gender mainstreaming, women’s rights, and diversity for all aspects of development work
