Job Title: Logistics Officer

Location: Mae Sot, Tak province

The IRC has been operating in Thailand since 1975 and currently provides assistance to displaced persons in Tak, Kanchanaburi, Ratchaburi and Mae Hong Son provinces

Job Overview/Summary:

The Logistics Officer is responsible for transportation and drivers management by monitoring and managing driver team and vehicle schedule effectively. In addition, this position is responsible in ensuring the procurement process and procedures related to the maintenance and repair of all vehicles of Tak field office is effective and meet all Supply Chain Policy.   

Major Responsibilities:


  • Monitoring travel plan for drivers based on program requirement for camp visit and other outside of Mae Sot trips, request for cash advances and clear payment.
  • Arrange rental vehicle for Program as requested.

Maintenance (Monitoring the overall process)

  • Perform Vehicle Checking Requirement as per Fleet Management SOP.
  • Ensure all mechanical equipment tools, first aid kits and other necessary supplies are in the vehicles and in good conditions.

Vehicle Report

  • Perform the vehicle data entering into Fleet Management Tool of Microsoft Access Program properly.
  • Track all vehicle registrations and insurances, and ensure all updated documents are in the vehicles (original) and a copy is updated timely on files and in the vehicle.
  • Perform vehicle data tracking as a monthly report for supporting the SCMR/GSCD monthly report.
  • Ensure Vehicle Management, Policy and Procedures are well implemented and applied in all offices with particular attention to safety and security issues.
  • Act as focal point in case of Tak vehicle accidents by reporting to the Field Coordinator according to vehicle policy.

Staff Management

  • Review and organize drivers’ monthly timesheets including Leave Application Form for Sick Leave, Vacation and Compensation and submit to Mae Sot HR regularly.
  • Supervise driver team by evaluating work performance and set job objectives.                                                                                           Other
  • Perform other duties as assigned by Deputy Field Coordinator
  • Prepare Purchase Order including managing other related document filing
  • Following up procurement documents that are related to maintenance and repair of vehicle in Mae Sot field and checking goods, issuing of Delivery Report and filling
  • Support procurement team in contacting and preparing vendor payments on monthly basis
  • Assist Supply team in arranging MPA process

Job Requirements:

Education:          Bachelor’s degree in Management or other relevant  fields

Work Experience: Minimum 2-3 years of work experience in Procurement, Fleet Management.

Demonstrated Skills and Competencies:

-              Strong organizational skills, good at multi-tasking, flexible.

-              Ability to communicate clearly both verbally and in writing.

-              Able to work under pressure with minimum supervision. Good task prioritization skill and Good time and people management skill

-              Basic computer proficiency of Microsoft Excel, Word, and PowerPoint

-              Good knowledge in Thai labor law and legal concern

-              Positive attitude, Excellent and team-oriented person

-              Ability to work on regular deadlines and adapt to changing situations

-              Excellent time management skills

-              Has strong driving skills and vehicle knowledge.

Languages and Computer skills:

-              Good command of written and spoken Thai and English

-              Computer proficient and demonstrate skills in database management and record keeping

-              Proficient in Microsoft Office and Excel

Working Environment: The position will be based in Mae Sot District, Tak Province, with some time travel to Mae La, Umpiem and Nupo  Temporary Shelter
