Responsibilities

Summary

 

Suwannimit Foundation (SNF) is a Thailand registered foundation dedicated to strengthening the operational capacity and programming impact of community-based organizations that service underprivileged people on the Thailand-Burma border.

 

Under the direction of the Director, the Deputy Director is responsible for assisting the Director for overall management and operation of Suwannimit. Internally, he/she will provide general supervision to ensure efficiency. Externally, he/she will also represent the foundation to advocate and engage with necessary stakeholders.

Job Specific

 

Role 1: Assist the Director to drive planning and general management of the foundation

 

  • Assist the Director to supervise the operation of organization and manages its compliance with legal and regulatory requirements in Thailand.

  • Assist in creating annual operation plans that support strategic direction set by the board/subcommittee and correlate with annual operating budget; assist in submitting annual plans to the board for approval

  • Support the finalizing of grant application and ensure it is submitted to donor in timely manner.

  • Assist in facilitating the board/subcommittee meeting- including annual planning meetings.

  • Take part in developing and monitoring strategies for ensuring the long-term financial viability of the organization.

  • Promote a culture that reflects the organization's values, encourage good performance, and reward productively.

  • Ensure review and maintenance of operational policies and procedures in consultancy with the director/board/subcommittee.

  • Take part in the development of future leadership within the organization.

  • Assist in evaluating the organization's performance on a regular basis.

 

Role 2: Assist the Director to maintain alignment of people and programs to the foundation's mission and strategy

  • Assist the director in facilitating and collaborating with board and subcommittee to refine the organization's vision as appropriate and develop strategies for achieving that vision.

  • Ensure unified understanding by internal stakeholders (board, staff, subcommittee) in a single vision for the organization.

  • Outline and ensure occurrence of tasks needed to be fulfilled by the organization to continually achieve its mission.

  • Monitor programs and operations to ensure they are aligned and serve purpose to organization's mission.

  • Assist to liaise between the Board and the rest of the Foundation to ensure high engagement from the board-including providing update of decisions and undertakings and coordinating meeting/communications as needed.

 

Role 3: Engage external community to promote awareness and support of the foundation.

  • Actively and strategically advocate for the organization, its beliefs, and its programmatic efforts.

  • Ensure effective relationship between the organization, Thai Civil Society, Local Community Based Organization, and Government Offices when appropriate.

  • Serve the public face and primary decision maker as assigned by the Director for the organization at external stakeholders (e.g. donors, government officials).

  • Organize opportunities for the foundation to communicate and collaborate with appropriate organizations.

  • Assure that the organization and its mission, programs, and services are consistently presented in a strong, positive image to relevant stakeholders.

  • Take part in final approval for content, production and distribution of all publicity materials for the organization.

 

Role 4: Assist the Director to lead and execute human resource functions for the foundation's resources.

  • Monitor operation for changes to resourcing needs and escalated need.

  • Assist the Director on hiring process direction including recruitment, hiring, on boarding, performance management, and termination.

  • Assist in developing job descriptions and recommendations on salary and other benefit of staff, volunteer and consultant.

  • Assist in driving performance management of employees including goals/objectives setting and annual performance reviews.

  • Approve timesheets of staff who are under direct supervision.

  • Assist in planning and approving employee development activities.

 

Role 5: Provides general oversight of the foundation's finance operations

  • Work with Finance and Accounting Manager and Admin and Logistic Manager to support day-to-day finance operations in accordance to policies and procedures (e.g. review statements, provide approvals, etc.)

  • Work with Finance and Accounting Manager to oversee staff in developing annual budgets that support operating plans.

  • Ensure staff manages the organization's resources within budget guideline according to current organization regulations.

 

Role 6: Oversee the foundation's programs to ensure effectiveness

  • Ensure the success of the organization's program effort; refines or changes programs in response to program evaluation.

Bachelor Degree in any field

Bachelor or Master Degree in Development or Management fields

Work Experience

 

  • At least 8 year work experiences with NGO/Non-Profit Organizations

  • 3+ years of experience in management of NGO organization(s) including: strategic planning and execution, people management, and finance / budget management

  • Experience in working for migrant or refugee populations

  • Experience in team management including motivation, mobilization, coordination, and management for simultaneous project implementations

 

 

Skills/Knowledge/Aptitude

 

  • Basic knowledge of the following:

  • Thai rules/regulations for foundations

  • Finance, accounting, budgeting, and cost control principles

  • Fundraising and proposal writing

  • Contracting and negotiations

  • Computer skills: MS Office programs, internet research, electronic correspondence

 

  • Strong ability in public relations and excellent interpersonal skills

 

  • Strong understanding of Thailand-Myanmar border context

 

  • Commitment to empowerment of local community

 

 

Language(s)

  • Professional written and verbal communication in English and Thai

 

proficiency in Burmese and/or Karen language preferable
