Position title: Assistant Manager- Recruitment and Training

Directly reports to: Head of People and Culture, WWF Thailand

Employment duration: 12-month with possibility for extension

 

Background

WWF Thailand has a long established presence in Thailand as a project office in 1995 and become one of the four Country Offices (Cambodia, Laos, and Vietnam) of the WWF Greater Mekong Programme (GMP) in 2005. In order to be relevant with partners at provincial levels and deliver conservation results in landscapes, GMP has also developed 20 field offices across the 4 countries and 6 landscapes.

Following a strong track record of conservation delivery over the last 20 years, WWF has established both the credibility and presence to deliver conservation impact at all levels from provincial, to national to regional.

WWF Greater Mekong Programme Office has embarked on new strategic planFY21-FY25. The new strategic plan outlines changes in the way WWF GMPO operates, both in conservation and operation aspects.

 

1. Major Duties and Responsibilities

  • Manage the full cycle of recruitment and selection process for all staff at the country program, ensuring compliance with recruitment policies and procedures. Coordinate with legal counsel to ensure hiring conditions and agreements comply with WWF Thailand HR policies and local labor laws. Provide logistical support for the recruitment and selection of regional staff conducted in Thailand.
  • Responsible as HRIS administrator for HR and admin applications, such as Canopy system, Leave Online, E-AIM, HR Oracle, and finger scan system.
  • Support onboarding, offboarding and orientation programs for new staff, including providing HR systems, policies, and procedures orientation, arranging onboarding plans and logistics, and ensuring new staff receive adequate information and support to integrate into the organization.
  • Handle staff contract renewal process end-to-end, including obtaining necessary approvals.
  • Conduct exit interviews by meeting with staff, prepare exit interview reports for future reference, and compile overall reports to gather insights for organizational improvement.
  • Maintain and update staff personnel soft files, recruitment documents, recruitment reports, and organizational charts for proper document storage and retrieval in the internal P&C shared drive.
  • Compile and Provide staff contracts and related documents to both internal and external auditors.
  • Serve as the focal point for the job evaluation process using Mercer WIN, coordinating and supporting related activities as required.
  • Support handling employee handbook.
  • Retrieve job descriptions from the shared drive and provide them to hiring managers during the hiring process, keep records on file for future reference, and conduct job analysis to ensure alignment with organizational objectives.
  • Manage performance appraisal systems and provide guidance on career development plans
  • Handle employee relations, conflict resolution, and disciplinary actions
  • Maintain and update employee records and HR databases
  • Collect and store timesheet for future audit reference.
  • Collaborate with colleagues to regularly revisit job descriptions and participate in the job evaluation process.
  • Proactively lead employee engagement initiatives and employee relation activities.
  • Organize training programs and team development initiative
  • Support and participate in salary-related processes, including salary increase calculations, providing required data and supporting information, and assisting the team with other related compensation tasks as needed.
  • Perform other duties and responsibilities as assigned by the line manager to support the organization’s operations

    • Liaises with HR professionals in the country, HR service providers and government bodies. Engages with other organisations on HR systems and practices for learning and sharing

 

3. Requirements

1. Education and Qualification

    • Bachelor’s degree in Human Resources Management, Organisation Development or in relevant fields

2. Knowledge

    • Basic knowledge of environmental and conservation issues in Thailand
    • Thorough understanding of laws and regulations on labor, health and safety
    • Knowledge of HRM practices in Thailand

3. Experience

    • 7 years practical experience in human resources management,
    • Experience in implementing and monitoring the compliance of HR system, policies and procedures, preferably the context of an international organisation
    • Experience in developing HR systems, policies and procedures is an advantage
    • Experience of working in multi-cultural environment
    • Demonstrated mastery in the oversight of review and establishment of financial systems and their coordination with programme delivery systems
