TITLE: Administrative Assistant

CONTRACT TYPE: National staff          

LOCATION: Bangkok, Thailand (On-site)

CONTRACT LENGTH: Open-ended

POSTING DATE: October 10 - 21, 2025

 

The Solidarity Center is an international non-profit organization dedicated to promoting and defending workers' rights globally. It assists workers and their communities in building democratic and independent trade unions, advocates for safe workplaces, accountable supply chains and fair wages, and works to end forced labor and exploitation. The Solidarity Center partners with local organizations to provide resources like education, training, advocacy and legal support to assist workers and promote industrial relations.  

 

PURPOSE OF THE POSITION

The role provides comprehensive administrative, finance, HR, and operational support to ensure smooth operations of the Solidarity Center (SC) Thailand office. Key responsibilities include - managing day-to-day operations of the office, overseeing travel arrangements, supporting processing expenses/petty cash/clear advance payments, maintaining vendor relationships, overseeing mail and courier services/inventory, overseeing staff benefits and human resource record-keeping. This role may assist the management team in maintaining leases, preparing travel expense reports, compiling documents for visa/work permit/office registration, translation of documents etc. Overall, the position plays a critical part in ensuring operational efficiency, policy compliance, and smooth administrative functioning of the SC Thailand office. 

 

ROLES AND RESPONSIBILITIES

Administrative Support & Office Management:

  • Manage the country field office facilities, mail and courier services, record-keeping, inventory, and vendors and supplies.
  • Ensure operations comply with Solidarity Center rules and regulations.
  • Provide basic translations and interpretation.
  • Supervise and manage the driver’s schedule.

 

Human Resources:

  • Manage employee benefits, including health insurance, provident funds, and staff education and development/wellness fund.
  • Maintain employee records, HR documentation, and all associated administrative processes.
  • Assist in managing consultants, including drafting consultancy agreements and assignments.
  • Coordinate with the HR Department in DC to ensure SC Thailand office compliance with employee policies and standards.

 

Travel & Procurement:

  •  Coordinate administrative and logistical support with other field offices for Asia regional events, including conferences, training, meetings (online), and other assigned events.
  • Oversee travel planning, flight, accommodation and visa arrangements and travel authorizations.

 

Finance:

  • Process majority of the office and activity related payments.
  • Support monthly cash counts of petty cash boxes, prepare journal adjustments, and oversee petty cash disbursements and tracking.
  • Assist in forecasting financial needs and expenditure for field office expenses.
  • Assist the Finance unit in consolidating and reviewing timesheets with accuracy and timeliness.

 

Support to the management team:

  • Assist with credit card reconciliations and expense reimbursements for the management team in close coordination with Finance. 
  • May assist in preparing monthly timesheets for the management team.
  • May assist in compiling/preparing documentations for visa/re-entry/work permit.  
  • Other duties as assigned by managers within the SC Thailand office.

 

QUALIFICATION:

  • Bachelor’s degree in administration, social sciences, or a related field.
  • 0-2 years’ relevant experience in administration, office support, or the non-profit sector. New graduates are welcome. 
  • Excellent organizational and communication skills; ability to manage multiple priorities.
  • Fluency in Thai and working level English is required.
  • Experience in managing an office or providing administration support is desirable.
  • Comfortable using technology, including Microsoft Suite, Adobe Acrobat, Google workspace, Zoom, and other communication platforms/productivity tools. 
  • A strong desire to learn is a plus.
  • Ability to work both independently and collaboratively.
