Position Summary:

The Receptionist/Administrative Assistant will welcome visitors, take callers, and provide administrative support services to all staff. The Receptionist/Administrative Assistant is responsible for making sure that basic office functions are working smoothly.

 

Specific Duties and Responsibilities: 

  • Greet visitors and manage the reception area, to ensure effective telephone and mail communications
  • Maintain professional image internally and externally
  • Answer and distribute calls
  • Process stationary requests & office supplies
  • Process incoming field staff, arrange hotel accommodations and scheduling orientation/meetings
  • Provide administrative support to all Pact staff
  • Assist with travel accommodations and travel reconciliations
  • Assist with acquiring expatriate work permits, visas and other documents
  • Assist with meetings and conferences
  • Maintain electronic filing system, including scanning and filling
  • Manage conference room, reservations, setting up conference calls, set up AV, etc.
  • Performs other duties as assigned

 

 Qualifications, Skills, Knowledge:

  • Ability to sustain interpersonal and professional relationships with internal colleagues and contacts in donor and peer organizations
  • Strong planning and time management skills, ability to handle high-volume, fast-paced work environment.
  • Attention to detail
  • Creativity and flexibility
  • Competence using common desktop applications and internal systems, including Microsoft Office Suites

Requirements:

  • University degree in relevant field
  • Minimum of (2) two years’ work experience in a professional office
  • Work experience in a similar role
  • Strong interpersonal and intercultural communication skills
  • Strong written and spoken English
  • High energy and ability to multitask
  • Attention to details and deadline oriented
  • A demonstrated interest in international development
