Department Description

The Legal Team primarily provides legal services to refugees, ensuring that they have access to justice, get necessary support during the refugee status determination (RSD) process and have  information on  Long Term Legal Solutions (LTLS). The Legal Team is overseen by the Protection Program Coordinator and includes the RSD and Protection Team Leads, RSD and Protection Officers, RSD and Protection VLAs, Screening and Intake Assistants, Interpreter and Paralegal Coordinator, Interpreters and Paralegals.

 

Position Description

The Screening and Intake Assistant (SIA) assists the legal team by serving as the initial point of contact for refugees requesting legal and other assistance from the organization, including but not limited to refugee status determination, protection and emergency response. This involves communicating with clients by phone and e-mail, conducting intake assessments, connecting clients with other units and providing information on other relevant service providers. 

 

​​Key Responsibilities

All responsibilities will be undertaken under the guidance and support of the Protection Program Coordinator and where required, other legal team leads.

  • Act as the first point of contact for clients, prospective clients and guests at AAT, by phone, e-mail and in person - this includes checking clients in for scheduled appointments and advising walk-in clients in accordance with AAT standards;
  • Conduct short, initial pre-screenings to assess clients’ and prospective clients’ needs and vulnerabilities;
  • Make referrals to other units for further action, using established processes;
  • Liaise with other units on case-specific concerns, as required;
  • Follow up with other units for case status updates at the client’s or prospective client’s request, where warranted;
  • Provide accurate information to clients and prospective clients on AAT’s services;
  • Inform clients and prospective clients where we cannot assist, explaining why where appropriate, identify other organizations who may be able to assist, and redirect to these organizations by providing a simple explanation of the organization’s service areas and contact information;
  • Follow-up with clients and prospective clients as instructed by other legal team staff to pass on or remind clients of simple and specific information previously provided by their legal advisor;
  • Request immediate assistance from other legal team and operations team staff, where required - for example, an emergency situation, an individual in distress, a security concern or any suspicious activities;
  • Undertake necessary case management practices, including maintaining database records and keeping detailed notes of all casework activities;
  • Ensure administrative processes and tasks are completed to the necessary standards; 
  • Maintain a basic level of knowledge of UNHCR processes, in order to process cases effectively at AAT;
  • Maintain a basic level of awareness of political and social conflicts in clients’ countries of origin (COO), in order to process cases sensitively at AAT;
  • Attend and contribute to team meetings as required;
  • Adhere to the Nairobi Code of Ethics, and AAT Code of Conduct, policies, and manuals;
  • Work collaboratively and in coordination with the other Screening and Intake Assistant on duty; and
  • Other relevant work as assigned by supervisor.

 

Reports to: Protection Program Coordinator

 

Essential Qualifications

 

  • Awareness of the situation facing refugees in Thailand (or the desire to learn), interest in serving the needs of refugees in Thailand, and ability to work in a respectful and understanding manner in a culturally diverse environment;
  • Previous client services experience and experience working with people in vulnerable situations (such as survivors of crime, sexual and gender-based violence, torture, trafficking, trauma, and/or those facing food insecurity, homelessness, lack of medical care and/or lack of safe and dignified employment);
  • Strong communication (written and verbal), interpersonal, teamwork, time management, organization and recordkeeping skills;
  • Ability to cope with competing demands and deadlines, identify priority activities, adapt to situations as they unfold, take initiative and work efficiently with a high attention to detail;
  • Advanced working knowledge of Microsoft Office, Gmail, Google Drive and related tools (Docs, Sheets, Calendar, etc.);  and
  • Ability to fluently speak and write in English (as English is the working language of UNHCR Thailand and AAT) and Thai (as the position may require liaising with Thai entities).

 

Beneficial Qualifications

  • Experience working in a legal office and/or with interpreters, and ensuring related professional and ethical standards are met.

 

Salary and Benefits

The Screening and Intake Assistant will receive a monthly payment of THB 30,000 per month, health insurance and vacation and other leave days.

 

Hours and Location of Work

 

The Screening and Intake Assistant position is a full-time, one-year contract position based in our office in Bangkok, Thailand. Regular office working hours are Monday to Friday, 9am to 5pm. Candidates should be aware that some flexibility regarding working hours is required in order to process end of day emergency cases and complete daily recordkeeping.
