The Heinrich-Böll-Stiftung (hbs) is the German Green Foundation, which is part of the Green movement and conducts and supports civic educational and awareness building activities worldwide. Our main tenets are ecology and sustainability, participation and social justice. We are currently looking for a full-time Administration Officer based out of Chiang Mai.

Main responsibilities

Administrative support

  • Lead and oversee external services coordination and procurement
  • Prepare and manage travel logistics for staff as well as support travel reimbursement procedures in compliance with hbs guidelines
  • Organize and execute the filing system (paper and electronic) and maintain an address database as well as the office calendar
  • Prepare documents for visas, work permits, taxes, insurances and social security as requested
  • Provide document translation from Thai to English and vice versa as requested

Finance management support

  • Support the budget planning and monitor of expenses ensuring budgets remain within set limits
  • Under the supervision of the Finance and Administration Coordinator, support the calculation of staff payroll
  • Manage petty cash and keep it balanced and receipts organized

Project support

  • Work with Program Coordinators and Finance Department on obtaining project partner documentation as requested
  • Lead the organization of events (e.g. workshops, conferences, retreats) and meeting logistics as requested and in coordination with program staff

Required qualifications and competencies

  • Thai nationality
  • Proficiency in written and spoken English
  • Bachelor degree with a major in business administration, management, or related field; Master degree is an asset
  • Experience working for social businesses, universities or NGOs is highly desired
  • Demonstrated experience in managing and organizing events/workshops/conferences
  • Knowledge of Thai legal frameworks (in particular taxation and document retention) is a strong asset
  • Ability to take initiative and work with minimal supervision
  • Strong motivation to work in a multicultural team
  • Good computer skills in Microsoft Office, email applications, internet search and video conferencing

What we offer

  • The starting salary for this position is THB 35,000 / month (13 salaries), with the potential for adjustment based on the candidate's qualifications and experience
