About The Kap

The Kap is a regional training, research, and consultancy organization specializing in Monitoring, Evaluation, Accountability, and Learning (MEAL), project evaluations, and Third-Party Monitoring (TPM). The organization works with NGOs, INGOs, UN agencies, and development partners operating in complex and conflict-affected contexts.

Headquartered in Bangkok, Thailand, with operations across Myanmar and the Mekong region, The Kap delivers consultancy services including baseline, midline, and endline studies; mid-term, final, and impact evaluations; TPM and verification exercises; organizational MEAL system strengthening; and applied professional training.

The Kap is recognized for its context-sensitive, ethical, and evidence-based approach, combining strong local expertise with international standards to support accountability, learning, and informed decision-making. 

 

Position Overview

The Admin and Finance Officer is a key operational role supporting The Kap’s headquarters in Bangkok. The position is responsible for ensuring effective administrative operations, accurate financial management, and compliance with Thai legal and regulatory requirements.

The officer will manage day-to-day financial transactions, office administration, procurement, and logistical support for training and consultancy activities. This role requires strong attention to detail, good organizational skills, and the ability to work independently in a multicultural and fast-paced environment. The position contributes directly to the smooth functioning of The Kap’s regional operations across Myanmar and the Mekong region.

 

Key Responsibilities

A. Financial Management

  • Maintain accurate and up-to-date financial records using accounting software (e.g. QuickBooks, Xero, or similar).
  • Process daily financial transactions, including payments, receipts, payroll, and expense reimbursements.
  • Prepare monthly financial reports, bank reconciliations, and cash flow statements for management review.
  • Support budget preparation, monitoring, and variance analysis for projects and office operations.
  • Ensure compliance with Thai tax regulations, including VAT, withholding tax, and social security contributions.
  • Support annual audits and coordinate with external auditors as required.
  • Manage petty cash and office bank accounts under the supervision of the Managing Director. 

 

B. Administrative Support

  • Manage day-to-day office operations, including procurement of supplies, equipment maintenance, and vendor coordination.
  • Provide logistical support for training events, workshops, and meetings (e.g. venue booking, travel arrangements, catering).
  • Maintain organized digital and physical filing systems for finance, administration, HR, and project documentation.
  • Handle correspondence and communications in Thai and English, including phone calls and emails.
  • Support visa processing, work permits, and other legal requirements for international staff and consultants.
  • Coordinate administrative and financial matters with Myanmar and regional teams. 

 

C. Human Resources Support

  • Assist with recruitment processes, including job postings, interview scheduling, and contract preparation.
  • Maintain personnel records and ensure compliance with Thai labor laws.
  • Support staff onboarding, leave management, and benefits administration.
  • Assist with internal meetings, note-taking, and internal communications.

 

D. Compliance & Risk Management

  • Ensure office operations comply with Thai legal, regulatory, and donor requirements.
  • Implement and maintain internal controls to safeguard organizational assets and prevent fraud.
  • Support the development and regular updating of office policies and procedures.
  • Identify and flag operational and financial risks in coordination with management. 

 

E. Other Duties 

  • Perform additional tasks as assigned by the Supervisor.

 

Skills and Requirements

Education

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Professional accounting qualifications (e.g. CPA) are an advantage.

 

Professional Experience

  • Minimum 3 years of relevant experience in administration and finance

 

Technical Skills

  • Proficiency in accounting software (QuickBooks, Xero, or similar) and MS Office, particularly Excel.
  • Strong knowledge of Thai financial regulations, tax laws, and labor laws.
  • Solid experience in bookkeeping, budgeting, and financial reporting.
  • Strong attention to detail and ability to manage multiple tasks effectively.

 

Language & Communication

  • Thai nationality with professional proficiency in English (written and spoken).
  • Strong interpersonal and communication skills.

 

Personal Attributes

  • High level of integrity and ability to handle confidential information.
  • Proactive, organized, and able to work independently.
  • Flexible and adaptable to changing priorities.
  • Strong team player with a solution-oriented mindset.
  • Good understanding of the Thai and Myanmar humanitarian and development contexts is an asset.

 

Compensation and Benefits

Base Salary

Competitive monthly salary, commensurate with experience and qualifications.

Working Arrangement

Work Mode:              Primarily office-based in Bangkok with occasional remote work flexibility.

Working Hours:        40 hours per week, Monday to Friday (flexible within core      hours).

Travel:                        Occasional domestic travel may be required for training/event support.

 

Duration and Review

Contract Term:                       Unlimited, subject to performance and mutual agreement.

Probation Period:                  3 months with a performance review.

Performance Appraisal:       Conducted annually with quarterly check-ins.
