POSITION TITLE:           Administrative Coordinator

Location:                       Bangkok, Thailand

Reports to:                    Finance and Operations Manager

 

POSITION SUMMARY:

 

Winrock is seeking candidates for the Administrative Coordinator to carry out the day-to-day administrative aspects of USAID-funded projects that aim to reduce trafficking in persons in Asia and including Thailand.

 

ESSENTIAL RESPONSIBILITIES:

The Administrative Coordinator will be responsible for maintaining administrative and operational tasks of the USAID-funded projects.   S/he will primarily work closely with the Operations Team to complete the administrative transactions. Specific responsibilities include but are not limited to:

 

  • Lead front office operations, including answering phones and maintaining relations with vendors.
  • Supports the Logistics and Procurement Coordinator in ensuring smooth office operations through timely procurement of supplies, office and equipment servicing and maintenance, etc.
  • Update office inventory for all projects as and when needed
  • Coordinate any regional travel for the project staff regarding up-coming local and international travel.
  • Manage office physical and electronic files, as well as incoming and outgoing correspondence.
  • Assist in preparing letters, office memos, documents for meetings and events.
  • Assist with logistic and admin support in organizing national and regional workshop, meeting and events including photocopying and binding of documents
  • Support implementation and maintenance of office administration systems;
  • Liaise with internet provider, IT outsource services and help desk for regular IT maintenance and problem solving.
  • Liaise with office building regarding the administrative issues.
  • As needed assist with all administrative, procurement, operational, and logistical aspects for the office
  • Other duties as assigned.

 

Qualifications

  • Bachelor’s degree in communication, business administration or related field is required
  • At least three years of experience in performing the administrative function.
  • Excellent knowledge of MS Office – Outlook, Word, Excel, PowerPoint
  • Good team player; good interpersonal skills and excellent attention to details.
  • Good communication skills, both oral and written with fluency in English required.

 

SALARY: The annual salary will be commensurate with qualifications and experience.
