Main Purpose of the role

Provides support for the whole HR & Admin function across recruitment, induction, remuneration, performance management, employment relations, HR policy and procedures, learning and development and office operations.

Accountabilities

  • Cross team collaboration to support all functional.
  • The role holder will comply with the organisation’s policies and procedures.

Duties and Responsibilities

Functional

Recruitment

  • Assist in recruitment process; post vacancy announcement for local channels, interview arrangement, provide necessary information and document to candidates, ensure completion of documents.

On Boarding

  • To arrange induction schedule by coordinating with concerned.
  • To conduct induction to new staff as assign.
  • To provide necessary equipment and workstation to new staff.
  • To register Social Security for new staff.

Off Boarding

  • To ensure on Exit Staff Form submitted and completed by staff.

L&D

  • To assist on create, design and deliver L&D solutions to support the organisational change and assist to development outlined in the overall L&D strategy using a blend of methodologies including computer based, self-managed learning, class room and on job learning as appropriate.
  • To provides necessary education and materials to managers and employees including workshops.
  • To assist to create and contribute to L&D communications using a variety of tools and/or channel such as email, Intranet, activities board, newsletter etc.

Other

  • Produce and submit relevant documents/ reports required by government.
  • Perform any other ad-hoc HR duties & projects delegated from management.

Administrative

  • Front desk duties; answering phone calls, manage mailbox,
  • Perform general office administration duties i.e. stationery stock controls, mailing, contacting vendors, pantry stock control, pest control etc.
  • Liaise with medical insurance providers in relation to scheme claims, and other benefits. Arrange annual medical checks.
  • Explaining and providing information on employee benefits programs.
  • To provide logistic support such as booking air ticket, hotel booking and transportation.
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories.
  • To coordinate with visa agency for preparing the relevant documents for apply the visa and work permit.
  • To assist HR and Admin Manager to coordinate with legal firm for preparing information, documentation and report for extending license.
  • Keep and maintain proper filing system for HR records and documents.
  • Provide assistance on translation of document from English to Thai and vice versa as required as necessary.
  • Distribute incoming mail to staff
  • Prepare meeting notes for Thailand Office Meeting.
  • Prepare organogram for uploading to WAP SharePoint and submit to Ministry of Labour.
  • Prepare official documents such as Letters, Power of Attorney, etc.
  • Arrange with messenger service.
  • Register finger scan for office staff.
  • Coordinate with landlord for car parking card and record, and other issues.
  • Prepare necessary forms for staff to sign such as Pay Slips, Insurance Cards, Asset Received, etc.
  • Prepare New Starter Request Form to submit to International IT Helpdesk.
  • Supervise office maid.
  • Assist Country Director as required such as Travel Form, claim on ERF, etc.

Procurement

  • Process Purchase Requisition Form (PRF) and payment request for HR unit.
  • Prepare Supplier Information Sheet (SIS), find suppliers to make comparison for procurement process.
  • Prepare Expense Report Form (ERF) to reimburse for HR unit and International staff based in Thailand.
  • Prepare Advance Form for advance money of each events.
  • Prepare Missing Receipt Affidavit Form for the missing receipt reimbursement.

Skills and Experience

Essential

  • Significant experience in general HR and Admin area.
  • Efficient HR administration.
  • Good command of English.
  • Ability to proficiently use Microsoft word, excel and power point.

Qualifications

  • University degree in HR, Business Administration or related field.

Desirable

  • Experience in design and delivery of innovative HR activities.
  • Experience of working in non-profit organization.
  • Embracing different styles of training techniques, including e-learning.
  • Working knowledge and experience in providing visa and work permit for expat.
