TREAT Asia-Therapeutics, Research, Education, and AIDS Training in Asia-is a network of clinics, hospitals, research institutions and community organizations working to ensure the safe and effective delivery of HIV/AIDS treatments throughout Asia and the Pacific. Senior Administrative Assistant
ROLE AND overall functions:
The Senior Administrative Assistant is based in TREAT Asia’s Bangkok office, providing administrative support for pediatric and adolescent-related research and training activities.
SPECIFIC Duties and responsibilities:
The Senior Administrative Assistant’s specific responsibilities include, but are not limited to the following:
Programmatic activities
Assisting with the management of a clinical research site database, including maintaining and updating site investigator lists, contact information, and compliance with regulatory requirements.
Assisting in developing study-specific management and data tools.
Monitoring and updating regulatory tracking files.
Assisting with preparing, formatting and/or maintaining research concepts, presentations, reports, annual budgets, work plans, donor-related reports and other program materials.
Assisting with maintenance of other research-related files.
Assisting with preparations for site visits.
Providing remote and on-site support during site visits, as assigned.
Communicating with the Project Manager(s) to follow up on site visit-related issues before, during, and after the visits.
Compiling statistics and gathering data regarding HIV and clinical research, and conducting other online searches for program-related information, as assigned.
Performing other special projects and job-related duties, as assigned.
Operational activities
Assisting with coordination of consultants, vendors, and sub-contractors and their activities.
Working with other TREAT Asia staff to organize travel, meetings, workshops and events.
Tracking activities with national and international partners, clinical sites, donors, and other key stakeholders.
Administrative and other duties
Monitoring, reconciling, and assisting with fiscal administration, including but not limited to travel documentation, monthly expense reports, and/or purchasing; may assist with current or long-term fiscal planning.
Managing appointment schedules and arranging for meetings.
Facilitating communications; logging and prioritizing mail, calls, and other contacts.
Coordinating travel arrangements.
Assisting with preparation and distribution of meeting agendas, minutes, and other assigned documents or letters.
Occasional travel within and outside of Thailand is required.
Qualifications:
Degree: A Bachelor’s degree in a science and/or healthcare field, nursing degree, or equivalent combined training.
Experience: 3-5 years of prior administrative and research or program support experience, preferably including working with international organizations/partners in health-related activities. Experience with clinical research management and regulatory document preparation preferred. Knowledge of HIV/AIDS (e.g., epidemiology, community impact) is helpful.
Languages: Proficiency in written and verbal Thai and English.
Other skills: Good organizational and computer skills. Proficient in MS Office Suite (i.e., Outlook, Word, Excel, Powerpoint). Ability to prioritize and manage multiple tasks, and to work both independently and as part of a team. Good problem-solving skills and sense of initiative. Detail-oriented, reliable judgement, flexible.
