Based in Bangkok

BACKGROUND

Baan Dek Foundation (BDF) is a non-profit, non-political and non-religious organization based in Bangkok and Chiang Mai. BDF's core mission is to provide access to education, health, and social services to the most vulnerable children living in urban slums and construction site camps in Thailand.

 

Over the last 10 years of grassroots work originating in Chiang Mai, Baan Dek Foundation established key partnerships with construction companies and real estate developers to build sustainable impact in construction site camps and improve the lives and access to basic services of construction workers and their children. 

 

In 2018, BDF and UNICEF Thailand, developed a Framework for Action,  a set of 12 actionable recommendations for construction companies, published in the Building Futures in Thailand.  

Following the publication of this framework for action, BDF developed and piloted with pioneer construction companies practical tools for construction companies to operationalise and ease the integration of the framework for action into companies business activities. Through the recent launch of the Building Social Impact initiative, BDF would like to scale up and reach a wide adoption of this framework and tools in the construction sector. https://www.buildingsocialimpact.org/eng

POSITION SUMMARY

Baan Dek Foundation is currently looking for a professional and dedicated local Administrative and Finance officer who is committed to supporting vulnerable children and communities living in Chiang Mai and Bangkok. The position will work under direct supervision of the Director of PR and HR based in Chiang Mai and the Management team in Bangkok.

 

JOB DESCRIPTION:

Job Title:                           Administrative and Finance officer

Type of Contract:            Full-time employment position for 1-year (with possibility of extension)

Departments:                    Administrative and Finance Departments

Location:                           Bangkok, Thailand  (with punctual missions in Chiang Mai)

Expected Start Date:      9 January 2023 or ASAP

 

ROLE AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

The employee will work together with the team in Bangkok and the Finance Department and Admin&HR Department based in Chiang Mai. The main responsibilities of The Employee and will include, but are not restricted to, the following:

  1. Finance and Cashier

    1. Handle the foundation's petty cash. This includes the disbursement of advances and reimbursements of cash to staff

    2. Maintain that formal cash disbursal requirements as defined in the financial policies are fulfilled

    3. Ensure the receipt and financial practices are aligned to Thai Law and transparent ethical standards

    4. Support in preparing tax and social security documents and procedures

    5. Participating in the cash count on a regular basis

    6. Accurately record all expenses into the petty cash register 

    7. Maintain the accounts for all payments made in the Bangkok office and liaising with staff and suppliers as necessary

    8. Support in processing quotations along with the requirements indicated in the financial policies

  2. Support of Reporting and Budgeting

    1. Support of the Finance Department to prepare financial budgets for proposals to donors

    2. Support of the Finance Department to prepare financial reports for donors and internal use

    3. To work with the relevant staff to produce project budgets and forecasts as required

  3. Support Administration and HR

    1. Support the Director of HR and Public Relations and work with the Admin team, in the development of requested communication, financial, activities, etc. 

    2. Coordinating organizational administration, maintaining file and document organization (including contracts, visas, work permits, criminal record checks, and driving licenses)

    3. Supporting the Human Resource processes and the implementation of related policies in the branch in Bangkok

    4. Conducting translation of official documents and field materials between Thai and English

    5. Ensuring the working environment in the office in Bangkok remains suitable, contacting external services as needed (cleaning, maintenance services, etc.)

    6. Providing assistance with any task as per the needs of the organization and the management team.

QUALIFICATIONS

  • Nationality:  Thai nationality

  • Language requirements:  Excellent command of written and spoken English & Thai. 

 

EDUCATION/ EXPERIENCE:  

  • Studies: Master's or Bachelor’s degree in any of the relevant fields:  Administration, Human Resources and Finance related fields or equivalent in progressive work experience, office management, accounting, secretarial work.

  • Professional Experience: Minimum 2 year of experience in office administration, human resource  public relations, visa and work permit, and Finance related fields is required. Experience in Thai English document translation/positions and accounting related to NGO or social work are considered as assets. 

 OTHER SKILLS AND COMPETENCIES:

  • Creative and meticulous, ability to work independently with a deadline, ability to provide and receive positive criticism in a constructive manner, highly motivated, flexible and interested in humanitarian missions.

WORKING HOURS: Full time (Onsite) Monday to Friday with occasional weekend and evenings

SALARY & COMPENSATION:  Starting at 23,000 THB (To be defined based on experience and qualifications)
