Main tasks and responsibilities of the Administrative / Finance Assistamnt include the following:
Accounting and finance
- Review all the bills and prepare payment voucher and ensure that adequate supporting documents are attached to the voucher.
- Process all transactions, wire transfer payments, payments for taxes, social security, provident fund, rent and other expenses are made on time.
- Obtain payment voucher approval from authorized signatories before making any kind of payment.
- Record the transactions in QuickBooks with proper account codes.
- Prepare monthly report of expenditure and submit organization finance documents to the accountant.
- Perform a regular backup of all accounting related data, including QuickBooks.
- Support the Office Manager in preparing the annual audit.
- Review staff reimbursements and prepare necessary payment vouchers.
- Keep and organize invoices, bills, payment receipts.
- Calculate withholding tax and issue withholding tax certificate to supplier.
- Preparing the payroll including taxes, social security and other statutory deductions, and ensuring salary, and other benefits are paid.
- Prepare monthly salary slip.
Administrative
- Assist in the process of recruitment of staff, onboarding of new hire, staff resign.
- Apply for work permits and visas Support visa and work permit application process for international staff and their dependencies.
- Keep staff employment documentation (contracts, visa/work permits as applicable, leave record, staff benefit record).
- Maintain office equipment and facilities in good working condition.
- Assist the purchase and monitoring of office supplies (e.g. collecting quotes).
- Arrange for stocks (e.g. stationery and office supplies) to be replenished and equipment (e.g. computers, laptops) to be repaired where necessary.
- Assist in the process of renew the office registration by preparing and submitting documents required by MOL.
Travel and meetings
- Manage or assist in meetings preparation and organization with tasks ranging from helping prepare agenda, inviting participants, selecting meeting venue, coordinating travel bookings and food preparation.
- Assist with travel, accommodation and logistical arrangements for staff and fellows (e.g. arranging hotel bookings, tickets, transportation, etc.)
Documentation
- Maintain documents of the organization and its projects, in a highly-organized manner.
- Assist in preparation and filing of organization documents.
- Maintain inventory and documentation of the organization equipment.
Other
- Work on other administrative, organizational, and logistic tasks, as directed by the Office Manager.
Qualifications:
- High school diploma; additional qualifications in Accounting/Office Administration are a plus or bachelor’s degree in Accounting, business administration or business management is advantageous.
- High school graduation with experience in a finance function
- 1-3 years of work experience as an Accountant, Administrative Officer, Administrator, finance, and/or related fields.
- Fluent written and verbal communication skills (English & Thai).
- Proficient in working with Microsoft Office (MS Excel, Word, Outlook).
- Excellent administrative and organizational management skills and the ability to work in a changing environment.
- Experience working with intergovernmental agencies, or NGOs in multi-country projects is an advantage.
- Experience for using QuickBooks or similar software is an advantage.
