The Hanns Seidel Foundation (HSF) is an official German Political Foundation. It is entrusted by the German Parliament with a mandate, which lies at the core of the task of promoting democratic and sustainable structures worldwide. This mandate involves the strengthening of the relevant institutions and persons, procedures and norms and the requisite attitudes enabling such development to take place. HSF is represented with project offices in more than 60 countries, conducting more than 100 projects globally.

Since 2013, HSF has been working in Thailand in promoting a citizen-oriented police force that respects human rights and fights transnational crime, promoting Thailand’s civil society in democratic structures, civil and basic rights and promoting sustainable development in the ASEAN-Region.

This position will provide support to our ASEAN related projects and will be based in Chiang Mai.

 

The Position includes the following roles and responsibilities:

  • Provide general administrative and procurement support, including organizing meetings and events, and procuring supplies and services.
  • Support the preparation and coordination of travel arrangements and accommodations for project and beneficiaries team members.
  • Manage the financial administration of project activities, ensuring all required documentation is prepared in strict compliance with EU and HSF regulations and their most recent reporting formats.
  • Assist with the preparation of receipts and supporting documents for the project accounting software FTL. 
  • Organize, maintain, and update office and project records as needed—including financial documents, contracts, and supporting materials—ensuring proper filing and secure storage of all documentation.
  • Assist the Senior Finance and Administration Manager in ensuring that all vouchers and supporting documents are properly maintained for internal and external audits, that project activities comply with Thai government financial reporting and regulatory requirements, and that financial reports—both interim and annual—are accurately prepared and submitted to local authorities in the required formats.
  • Collaborate closely and maintain regular communication with Programme Managers and beneficiaries to support project implementation, administrative tasks, and documentation requirements.
  • Ensure timely payment of all required taxes and expenses in full compliance with applicable rules and regulations.

 

Your profile and qualifications:

  • Minimum bachelor degree or diploma-level qualification in related field.
  • At least two years in financial and administration functions.
  • Experience in larger scale project finance and administration including German and EU donors preferred.
  • Strong interpersonal and communication skills, with the ability to collaborate effectively with others.
  • Fluent in both Thai and English
