Job Brief:
IJM Foundation is seeking a professional Administrative Assistant, Law Enforcement Development to organize, support and enhance the team's performance to gather evidence and rescue victims of labor trafficking. The Administrative Assistant will work closely with the Head of Investigations and Law Enforcement Development (HILED) to provide administrative support and assist the HILED and the ILED team in day-to-day operations. The position is based in Bangkok, Thailand and may require occasional travel within Thailand. This position reports to the HILED.
Key Result Areas:
1. Assist the HILED in liaison work with Thai law enforcement agencies, government officials, partner NGOs, IJM headquarters, and in field office communication.
2. Provide logistical support for Fieldwork team members and for law enforcement partners during operations
Clerical and Administration
1. Assist the HILED in liaison work with Thai law enforcement agencies, government officials, partner NGOs, IJM headquarters, and in field office communication
2. Assist the HILED in scheduling and managing appointments and events
3. Receive and screen visitors, telephone calls and correspondence directed to the HILED
4. Draft correspondence, reports, commendations, and memoranda from the HILED
5. Ensure all reports, correspondence, etc. are communicated to the HILED in a timely manner
6. Organize and maintain a filing system for ILED team reports , correspondence, memoranda, etc.
7. Research and purchase equipment and office supplies for the ILED team
8. Maintain a regular inventory of office equipment and supplies for the ILED team
Fieldwork Projects
1. Provide logistical support for fieldwork team members and for law enforcement partners during operations
2. Assist the HILED in coordinating with law enforcement partners for field operative expenses and logistics.
Supervisory:
This position reports to the Head of Investigations and Law Enforcement Development.
No roles report to this position.
Education & Experience:
1. Bachelor's degree required.
2. Minimum one year experience providing administrative support in a fast-paced, professional environment; two to three years' experience strongly preferred.
Technical Competencies :
1. Exceptional written and spoken English and Thai required.
2. Proficiency with Microsoft Office applications, particularly Word, Excel, PowerPoint and Outlook.
Non-Technical Competencies:
1. Strong organization skills and attention to detail.
2 . Superior ability to manage large number of tasks simultaneously and proven ability to consistently meet deadlines with excellence.
3. Professional presentation in demeanor and written and oral communication.
