Community Partners International (CPI) is a US nonprofit organization working in partnership with conflict-affected, hard-to-reach and underserved communities in Southeast Asia to expand access to quality health services and generate the resources, local capacity and coordination necessary to meet their own health, learning, and development needs. CPI's Asian headquarters are located in Yangon, Myanmar, and the organization maintains field offices throughout Myanmar.
Primary Responsibilities
- Responsible for the banking and money transfers of CPI Thailand office
- Management of office set up according to the size of operation/number of staff/budget available
- Create financial and statistical, tools and reports using spread sheets
- Estimate the budget requirements for the coming month and assist in preparation of project and activity budgets and costed work plans
- Perform coding of receipts, expenses and invoices as per CPI standard
- Ensure all financial documents are complete, accurate and complied with policies.
- Perform data entry into the accounting system
- Responsible to archive all the financial and accounting documents
- Review partner accounting system, policy application and financial documentation are sufficient to meet the requirements.
- Work closely with CPI Partner's and report to Finance Manager based in Thailand
- Verify and reconcile all receipts, invoices, financial data of partners in alignment with donor and audit requirements
- Assist FM in consolidating financial data and producing financial reports for CPI
Regular Responsibilities
- Review and analyze all the financials on a regular basis and enter into the accounting system as per CPI procedures.
- Perform banking, currency exchange and cash transfer processes as required by CPI's overall operation.
- Responsible to handle cash, review the claims and filing the financial disbursements as per CPi procedures
- Ensure sufficient cash flow to support CPI in operation, sub-granting and activities
- Do the monthly accounting in accordance with CPI procedures and regulation
- Ensure internal control system is in place in Thailand office
- Participate in budget preparation, project inception and evaluation workshops when necessary or requested by Finance Manager.
- Any other duties as advised by Finance Manager
Partner Support
- Monitor and follow up the sub-grants and/or payments to partners and report to Finance Manager as needed.
- Check and compile partner financial report, send to Finance Manager and analyzes partner BvA
- Train partners on accounting, financial reporting and record keeping
- Provide guidance on financial recording and reporting system to CPI's new local partners.
- Travel to project sites of partners for monitoring financial management skill of partners and local group accountant
- Regular review and analyze the actual and budget comparison of partners
- Monitor on the financial management of partners in order to maintain the auditable good practices system are in place in partners
Capacity Building and Supporting Other Staff
- To assist program focal in preparing CPI annual budget as well as for CPI's partners
- Working collaboratively with the Yangon finance team as necessary
- Encourage overall program cohesion through communication and facilitating the submission of finance reports
Operations and Administration
- Manage, organize, track and update partner sub-grants data using spread sheets
- Review financial reports sent by partners and ensure meeting CPI financial guide line for partners
- Coordination with Yangon Office for Staff Management process of CPI & Partners organization (eg. Recruitment, staff filing etc.,..)
Organization Representation
- Participated in coordination meetings, staff meetings
Essential Skills
- B.Com/ B.Act or University degree and a diploma in Accounting Finance or related field.
- At least 3 years' experience in related position. Project financial management experience is preferred
- Fluent in written and spoken English, Thai and Burmese (preferable)
- Knowledge and experience in the use of computerized accounting. Knowledge of Sun System software is preferred
- Competence in using information technology, word-processing, spreadsheets and power point software.
- Excellent organizational, planning, and interpersonal skills
- Exposure to NGO work is an advantage
- Able to travel and work in remote area
