RECOFTC invites candidates to apply for the position of Executive
Secretary as part of the Executive Office team. The successful applicant
will be based in Bangkok, Thailand. The contract duration is for 24
months with a possibility of extension, subject to satisfactory performance
and funding availability. The position is for Thai nationals only.
Specific tasks and duties
The Executive Secretary will be a member of the Executive Office and
reports directly to the Executive Director. The Executive Secretary is
responsible for administrative and secretarial duties for the Executive
Office and for maintaining information, minutes and confidential data
under the executive office.
The Executive Secretary’s main duties are:
▪ Coordinate and organize the Executive Office’s meetings and
events, such as Board of Trustees meetings, Executive Committee
Meetings and other institutional events and document meeting
minutes
▪ Maintain regular contact and coordinate closely with Board of
Trustees members, donors, programme and project partners
regarding the governance body, meetings and minutes
▪ Manage processes for budget planning, monitoring, procurement for
the Executive Office
▪ Provide administrative and secretarial support such as taking
meeting minutes, composing letters and memos, responding to
correspondence on behalf of the Executive Director, and setting up
and maintaining archives, files and records, including confidential
files
▪ Provide administrative and logistic support to the Executive Director
or Acting Executive Director, Strategic Advisor, Grant Manager,
Business Development team members, Partnerships and Resource
Mobilization Officer, consultants and interns working on Executive
Office activities
▪ Support daily operations of the Executive Director’s office including
answering calls, taking and relaying messages to team members,
screening incoming mail and other correspondence, monitoring and
following up on internal and external correspondence
▪ Support the Grants Manager, and Partnerships and Resource
Mobilization Officer to monitor contracts with donors, partners, and
consultants and maintain the donor and partner contact database
▪ Assist the Executive Director and Deputy Executive Director,
business development team in collecting information for meetings,
reports, concept notes, proposals and presentations
▪ Assist the Executive Director and the Partnership and Resource
Mobilization Officer to explore opportunities for collaboration with
Thai government organizations, especially Kasetsart University,
Office of Higher Education Commission under the Ministry of Higher
Education, Science, Research and Innovation and potential donors
▪ Ensure that all commitments, including program and project
completion and audit reports on deadline
▪ Ensure that RECOFTC’s policies and procedures are strictly followed
▪ Maintain membership subscription lists
▪ Orient new Executive Office team members on administration,
procurement and travel policies
▪ Perform other tasks as assigned by the Executive Director
Qualifications and experience
The Executive Secretary will have the following qualifications and experience:
Essential
▪ Bachelor degree in business administration or related fields
▪ At least seven years of related experience
▪ Experience working with international non-profit organizations
▪ Excellent time management skills with an ability to meet deadlines
▪ Excellent organizational skills and attention to detail
▪ Good interpersonal skills with strong workplace ethics
▪ Good knowledge of written and spoken Thai and English
▪ Proficient use of software such as MS Office tools Excel, Word,
PowerPoint and Access
▪ Thai national
Desirable
▪ Experience in contracting and administering consultancy contracts
▪ Experience in project and program administration
▪ Experience in information management and knowledge
management
▪ Understanding of broad concepts of community forestry and natural
resource management
