Tetra Tech seeks a Program Assistant that is a legal resident in Thailand to support the implementation of the USAID-administered Water Energy for Food South and Southeast Asia Regional Innovation Hub (WE4F Asia RIH). The position is full-time, and hiring is contingent upon USAID approval. Visit https://www.we4f.org/asia for more information. The Program Assistant is recent graduate or young professional with an entrepreneurial mindset, a strong work ethic, with solid written and verbal communication skills and the ability to thrive in a fast-paced environment.
Conduct all administration and logistics to support the Hub’s activities including meeting coordination, note-taking, webinar and event organization, flight, and venue reservation.
Assist with the organization and maintenance of the project’s electronic files on MS Teams and Egnyte.
Support procurement procedures including identification of vendors, collection of price quotes, and documentation of the procurement process.
Maintain the Hub’s various trackers including property log, staff leave tracking.
Coordinate with service providers for IT support, transportation/couriers, postage, flights, office supply purchasing.
Monitor shared email inbox to ensure timely communication between the WE4F Asia Hub and innovators
Conduct desk research and support outreach to ensure that the program’s partnership and donor databases are updated regularly
Support documentation collection activities during regional call for innovations, call for service providers and call for expression of interests for investor.
Provide administrative support during various WE4F Asia RIH data collection activities (e.g. innovator surveys, M&E data collection, etc.).
Review programmatic documents to ensure compliance with WE4F branding guidelines
Support the development of several communications and knowledge management products including social media, program newsletters, blogposts, conference proposals, and other program materials as needed.
Support the maintenance of the RIH Knowledge Library as a digital platform to compile, share and engage knowledge management products with stakeholders.
Essential KSAs Required (experience, skills, education, certification, etc.):
Required Bachelor’s degree in international development/affairs, business administration or another field
1 - 3 years of relevant project management, operations, and/or administrative experience
Advanced proficiency in Microsoft Excel, Word, and PowerPoint
Fluency in English (written and oral) required
Strong communication skills. Ability to synthesize and communicate complex information in verbal and written messages.
Strong interpersonal skills to engage with RIH team members, partner organizations, and stakeholders at various levels in multiple South and Southeast Asian countries.
Highly organized with keen attention to detail and ability to prioritize multiple responsibilities
Ability to work both independently and as part of a team member in different locations and time zones
Valued but not required KSA's
Experience in social media and content development
Experience with MS Teams and Canva
Data management analytics skills
Fluency in one of the Southeast Asia languages
Demonstrated interest in the water-energy-food nexus, international development, and small/medium enterprise development
