We are currently seeking qualified candidates for the position of Administrative Officer, Networks for Peace

JOB TITLE: Administrative Officer, Networks for Peace

REPORTS TO: Grants Manager, Networks for Peace

PROJECT DESCRIPTION:

Networks for Peace is an associate award under Strengthening Civil Society Globally (SCS Global) Program funded by USAID and managed by FHI 360.

JOB SUMMARY:

Provides day-to-day administrative support related to the procurement, travel, grants, and database management activities for the Networks for Peace Project.

KEY RESPONSIBILITIES AND MAIN DUTIES:

Procurement and Travel

  • Provides meeting support, e.g., scheduling conference rooms, preparing meeting materials, making logistical arrangements.
  • Provides travel support to Networks for Peace staff, consultants, and visitors.
  • Facilitates logistical arrangements related to trainings/workshops including, but not limited to, venue selection, accommodation, and travel arrangements for domestic and international travel.
  • Maintains and updates records of all administrative related documents, e.g., travel authorization requests, service contracts, etc.

Grants and Finance

  • Reviews supporting documentation from grantees, e.g., receipts, timesheets, payroll reports, etc.
  • Maintains and updates grant cost databases.
  • Assists with grant processes, as needed.

Database Management

  • Maintains participant attendance database, including data cleaning on a quarterly and annual basis, in line with the timing for Networks for Peace activity reporting.
  • Maintains MEL filing system to store data sources and evidence across the 12 Networks for Peace key performance indicators.
  • Performs other related duties, as assigned.

Knowledge, Skills, Abilities, Expertise & Complexity

  • Ability to work independently with minimal supervision.
  • Ability to manage high volume of workflow.
  • Service-minded, well organized, detailed oriented, strong negotiation and interpersonal skills.
  • Ability to handle multiple tasks and demanding schedules to deliver high quality results on a timely basis.
  • Ability to work across cultures and coordinate with different organizations and individuals in different countries
  • Experience with data entry, organization, and filing
  • Knowledge of standard office procedures and practices
  • Strong organizational, administrative, financial, and planning skills.
  • Proficiency in computer software applications, particularly Microsoft Word, and Excel.
  • Fluency in spoken and written English.

Type & Nature of Contacts

Frequent interaction with others within and outside of the organization and ability to resolve problem situations, requires strong professional relationships with staff and clients/customers.

Work Circumstances

  • Ability to travel within country, if required.

 

REQUIRED QUALIFICATIONS:

  • A Bachelor’s degree in Business Administration, Management, or a related field.
  • At least three years of procurement and administrative management experience.
  • Good written and oral communications skills in Thai and English.
  • Prior experience working with NGOs and government organizations preferred.
