The ICRC Regional Delegation in Bangkok seeks to fill the following position:
VISA Officer, based in Bangkok
We are looking for a spirited team player with a can-do attitude to join our dynamic team.
The VISA Officer will be under the supervision of Welcome department. The department is responsible for the visa, hotel, car booking and follow-up of domestic and international flights. It also organizes the welcome of new international staff. This department is also in charge of the organization of seminars, conferences and meetings taking place mostly in Bangkok. Organizing the mobile phone quota and distribute a sim card to the staff of the Bangkok delegation and subsite. Finally, facilitates administrative tasks and relevant subjects as part of the Support unit.
ACCOUNTABILITIES AND RESPONSIBILITIES:
Primary accountable for these responsibilities:
General:
- Welcome Administrative Duties
- Opens a staff file for each expatriate (permanent)
- Permanently update the welcome database with all necessary information
- Elaborates staff lists with personal, passport & visa details and keeps them updated
- Handles travel-related correspondence with headquarters and other delegations
- Handles correspondence with the headquarters regarding family reunion, vacations, End of Mission (EOM) and other administrative information linked with expatriate and their family.
- Establishes the delegation's official welcome file on system (Lotus Note and Welcome Database) and distributes it to visitors and new delegates.
- Ensures the necessary administrative related work and good customer service for concerned files
- Performs various office duties in English and Thai
- Support other member's duties within Welcome department in area such as Visas and Permits arrangement, Fight booking and coordinating with the parties concerned.
Visas and Permits:
- Handles all formalities related to the establishment/extension of residence visa etc. for expatriates and their families.
- Facilitates a Thai visa and passport transfer with the Immigration Bureau
- Correspondence with Human Resource unit from ICRC’s Head Quarter regarding a Thai visa clearance process for beginning on a mission in Thailand
- In charge of relevant contacts with Ministries and government offices
- Correspondence with respective Embassies
- Obtain visas for ICRC’s staff for their professional trip abroad
- Requests Thai ID card from Ministry for expatriates and their families
- Requests Thai driving license from Ministry for expatriates and their families
- Issues invitation letters for visiting staff to Thailand
- Issues employment certificates for mobile staff for their personal requirements
Filing and Reporting:
- Ensures correct paper filing
- Updates the mobile staff and family members’ stay permit and re-entry permit on TeamSpace (ICRC’s intranet) as regular basic
- Filling personal data of mobile staff and family member on Welcome Database and hard-copy profile on storage.
Administrative Responsible:
Representative as an Information Management Relay for the Welcome Department
YOUR PROFILE:
- Strongly motivated by humanitarian work
- 2 years’ experience in a similar function
- University degree
- Very good command of spoken and written English and the local working language.
- Computer literacy; good knowledge of Microsoft Office.
- Good communication skill
