Job Title: Finance and Administrative Assistant
Duration: 1 year, with possibility of extension
Duty Station: Bangkok, Thailand
BACKGROUND
Issara Institute is an independent non-profit organization based in Southeast Asia and the United States tackling human trafficking and forced labour from the lens of business and human rights. The Institute was established in 2014 by a team of anti-trafficking experts coming out of the United Nations who created an alliance of private sector, civil society, and government partners committed to transformational, sustainable, worker-driven approaches to labour issues, especially those occurring in global supply chains. It is staffed by leading regional and international experts in labour rights, business and human rights, and research and technology.

POSITION SUMMARY
The Finance and Administrative Assistant will play a critical role in ensuring that the work of the Institute is streamlined, cost-effective, efficient, and in adherence to donor and partner policies, procedures, and regulations. The ideal candidate will have Quickbooks and accounting experience, be detail oriented and able to work within our multi-national team.
SCOPE OF WORK
Specific aspects of the scope of work of the Assistant include:
Support to accounting and finance systems
Provide accounting and finance support to Issara’s Bangkok and Regional Team, and Consultants, including the tracking of monthly expenses and reconciliation as required by Regional Finance Manager.
Assist Regional Finance Manager to ensure clear documentation and approval processes for all Issara expenses.
Support monthly expense clearing for staff, and monthly reconciliation of expenses for Bangkok Office and Regional Team, and Consultants, including tracking of payments.
Support the Regional Finance Manager in documentation and work with Thai auditors.
Assist the Regional Finance manager with monitoring and tracking of the annual work plans and related, monthly financial processes (BATS and funds request).
Support Regional Finance Manager on cashier and cash control tasks.
Support to programs, office operations, and events.
Procurement: Assist with vendor selection and vendor relationships, ensuring good value for money. Contact with vendors to provide good service for Issara and other support as needed to the team.
Human resources: Assist with the work permit and visa application processes and documents for international staff as necessary.
Office Management: Support the Human Resources and Administrative Officer to ensure safe, clean, and well-functioning working space, and coordinate and maintain monthly office supplies.
Logistical support: provide logistical support to field missions and events, including arrangement and booking of transportation, workshop and training venues, hotels and other details.
Support Issara’s Bangkok team and the Regional Team and Consultants on business trips both domestic and international travels and provide other support as necessary.
Support tracking and stock management of Issara publications
Coordinate with suppliers to get all services related to Bangkok Office IT and technology equipment, including troubleshooting, necessary upgrades, and maintenance.
Responsible for the Bangkok Office inventory registration record, including bi-annual spot check of office equipment.
Provide other support as needed by programs, including support in the field.
Other administrative duties as assigned.

Bachelor degree in a relevant discipline such as business administration or public administration required.
Minimum 5 years’ experience working related to accounting and finance with a background in administration preferred experience working with international NGO. Knowledge of Quickbooks software and standard accounting procedures
required; knowledge of budgeting preferred.
Personal interest and sensitivity in working with local communities and ability to work in a fast-paced, multicultural environment.
Sound knowledge of IT and electronic devices. Familiarity with Google Suite applications.
Fluency in English and Thai required, with excellent written and verbal communication skills.
