Operations Officer

Position Profile
The Operations Assistant reports to the Operations and Programs Manager. It is expected that the successful candidate will focus on assisting the Operations and Programs Manager to manage AIP Foundation Thailand’s operations. The responsibilities listed below are inclusive, but not exhaustive, of the role.
Responsibilities
Key responsibilities
Coordinate administrative and financial matters and liaise with Head Quarters on those matters.
Manage Thailand office facilities, supplies and services.
Provide support to Country Director / Chairperson and Operations and Programs Manager in term of compliance issues.
Finance
Handle petty cash transactions.
Prepare procurement documents and submit to HQ as required.
Submit financial reports to HQ on a monthly basis.
Any other issues, as requested by the Operations and Programs Manager, Country Director and HQ.
Administration, Procurement, and Travel
Support the purchasing and payment of Program commitments.
Manage purchasing of office supplies and equipment, and maintenance of facilities.
Manage office rental payments and renewals.
Manage compliance with office licenses and government reporting.
Support staff with travel requirements to/from/within Thailand.
Provide logistical assistance for incoming visitors; e.g. accommodation, local transportation, meetings, etc.
Human Resources
Implement Thailand HR activities and processes (for example: time attendance records, leave tracking report, etc.).
Arrange visas, resident cards, work permits as required.
Coordinate Thailand office HR requirements under supervision of Operations and Programs Manager, Country Director and Human Resources Manager in Headquarters.
Others as required by Operations and Programs Manager, Thailand Country Director and Headquarter Human Resources Manager and Finance Director.
Qualifications
University degree
Thai Nationality
Good written and verbal English
Two years of experience in a similar role
Ability to prioritize while managing expectations
Flexible and positive attitude
Experience in working with international NGOs
Excellent communication skills
Ability to manage multiple tasks
Commitment to AIP Foundation’s mission, vision and core values
A dynamic and professional individual with initiative
