Reports to: Program Director
Summary Description:
The Program Coordinator is an integral part of Chiang Mai Rock Climbing Adventures (CMRCA) Program Department. The Program Department is responsible for the sales, design and delivery of year-round experiential education and corporate training programs. A successful candidate has good organisational skills, communicates effectively, and is prepared to work in a dynamic, fast-paced work environment. They are the main point of contact for hotels, restaurant, transportation and other service providers and liaises with all internal CMRCA departments. A positive, flexible and service-minded attitude is critical for this position. CMRCA values employees who model a healthy, active lifestyle and show interest in outdoor adventure activities.
Essential Job Functions:
Program Development and Sales
Effectively communicating in Thai and English to book third party providers, transportation, accommodation (camps, guesthouses, and resorts), and food / beverage vendors via phone and email.
Supporting Program Director and Program Manager(s) with research of potential program locations throughout Thailand.
Maintaining a database of logistics and program location availability and costs.
Assisting in the maintenance of Google Calendar for all climbing, caving, multi-day programs and community events.
Creating and maintaining program forms, logistics spreadsheets and budgets for all programs and community events.
Communicating regularly with guide and facilitation team regarding program schedule and details
Collaborating with staffing coordinator to ensure staffing resources are assigned for programs.
Assisting in program sales by providing information about CMRCA programs and services and responding to client requests via phone and email.
Representing CMRCA in a professional manner during sales meetings, site inspections, trainings and conferences.
Program Delivery
Acting as the main point of contact for transportation, accommodation (camps, guesthouses, and resorts), and food / beverage vendors during program delivery.
Communicating logistics details to all program staff.
Responding to questions and requests from foreign and Thai program participants. This includes, but not limited to international school administrators, teachers, and students as well as corporate executives and managers.
Maintaining and being responsible for cash budgets.
Assisting with hotel and camp check-ins and orientations.
Assisting with the facilitation of program content including, but not limited to adventure skills, Thai language, Thai culture, and CMRCA leadership and development curriculum.
Maintaining professional standards and cleanliness at all program locations.
Following company protocols for capturing and managing digital media.
Collaborating with the social media manager to ensure programs are shared through all SM channels
Supporting Director and Manager(s) with all aspects of event and program delivery as needed.
Administrative and Departmental Support
Representing the Program Department to internal staff and being well-informed about upcoming programs and events.
Working with the CMRCA Accounting Manager to confirm the timely payment of all incoming and outgoing invoices.
Maintaining up to date company files (i.e. file naming, classification, location etc.).
Purchasing and sourcing office and program supplies from local vendors.
Creating and maintaining lists and systems for Program Department equipment and supplies.
Ensuring that office supplies are fully stocked on a regular basis.
Maintaining a tidy and presentable work space.
Supporting all Coordinator(s), Manager(s) and Director as needed.
Required Experience and Skills:
Thai National
Minimum 3 years of work experience coordinating events and projects in tourism, hospitality, education or related industry
Graduation from University
High proficiency in written and spoken English
Working knowledge of MS Office, IWork, Internet, Social Media, CRM software
Thai Driver’s License
The ability and willingness to work outdoors and for long hours during program delivery
Preferred (not required) Experience and Skills:
Northern Thai
Strong knowledge and experience with outdoor activities (i.e. climbing, caving, hiking, etc.)
Experience working in a cross-cultural workplace and with a diverse population of clients
Proficiency in Northern Thai, Southern Thai, Isaan, Mandarin or other applicable foreign language
