Save the Children International is looking for a Grant and Finance Assistant
JOB TITLE: Grant and Finance Assistant
TEAM/PROGRAMME: Grant Team LOCATION: Bangkok
Type of Contract: Fixed Term

ROLE PURPOSE:
The purpose of this post is to assist Grants Coordinator in supporting the development of a sound funding base for Save the Children’s Thailand Programmes and ensures that a high quality of grant management and coordination of grant management processes are in place so that we are able to meet our accountabilities to SC members and donors.

KEY AREAS OF ACCOUNTABILITY:
Donor and member compliance:
- Create and maintain award tracking sheet for donor report and submit to SC Members and donors on time
- Checking all member/donor compliance in the report before submission
- Assist Award coordinator and Finance Manager for kick off meeting
- Ensure award close out process on time and compile with the SCI award close out policy and requirement
Partnership management
- Ensure all process of new partnership vetting and assessment are done and record in AMS system
- Ensure all partnership assessment is done, accurate and record in AMS system
- Coordinate with budget holders, finance team and partners to prepare sub-award agreement
- Conduct Finance assessment especially for new partners, flag out risks of each partner and work with relevant sections for partner capacity building plan
- Before finalizing the sub-award, working with finance team to make sure that the report submission dates from partners allowed enough time to report submission to donor
- Assist to coordinate, prepare for conduct financial and compliance training for partners.
- Monitor and field visit partner to ensure that partner are compliance with donor and SCI policy
- Maintain partner filing system; document, e-filing and AMS system
- Conduct partner financial audit
- Ensure for partner close out
Proposal development
- Assist Award Coordinator in proposal development; including prepare award risk assessment, join risk opportunity assessment
- Coordinate with budget holders for budget forecast and upload to Agresso system (SOF Loader)
Budget
- Assist SCI budget plan and forecast process, master budget
- Assist in preparing monthly variance analysis
- Prepare Budget vs Actual (BVA)
- Participate in BVA meeting and prepare BVA note
Report
- Coordinate with budget holder for monthly review
- Assist finance manager to prepare donor financial report
- Ensure all reporting plan are agreed with all sections, accurate and share to all sections.
- Manage and track of the reporting submission step by step according to reporting plan and coordinate between sections and to member/donor submission on time.
AMS
- Maintain and update Award Management System (AMS) including partner and document information and document.
- Facilitate to process as required; proposal development, amendment, closeout
Audit
- Support external audit, member audit, donor audit and other audit requirement

QUALIFICATIONS
- Thai Nationality
- Bachelor’s degree
- At least 3 - 5 years experience in partnership finance management
- Experience of working with international NGOs
- The ability to speak, read and write in Thai and English as working languages
- Proficiency in computer use with various software packages
- Excellent communication skills
EXPERIENCE AND SKILLS
- Experience in a Grants, finance and accountant assistant post
- Experience of budget development and management
- Experience of donor reporting and liaison

Additional job responsibilities
