Senior Administrative Assistant, Research (full-time)
Primary Function :-
The Senior Administrative Assistant is based in TREAT Asia’s Bangkok office, providing administrative support to the Director of Research and assisting with coordination of TREAT Asia’s research program.
SPECIFIC Duties and responsibilities:
The Senior Administrative Assistant’s specific responsibilities include, but are not limited to the following:
Programmatic activities
Assisting with preparation and maintenance of files related to research activities, including a database of TREAT Asia research projects and regulatory documents (i.e., for institutional review boards and ethics committees).
Assisting with preparing, formatting and/or maintaining research concepts, presentations, reports, annual budgets, work plans, and other program materials.
Providing support to research Project Managers for example on routine tasks.
Providing guidance to other Administrative Assistants with routine tasks, as needed.
Assisting with web-search of program-relevant information as assigned
Performing other special projects and job-related duties as assigned.
Operational activities
Assisting with coordination of research-related consultants, vendors, and sub-contractor activities.
Working with other TREAT Asia staff to organize research-related travel, meetings, workshops and events.
Tracking activities with national and international partners, clinical sites, donors, and other key stakeholders.
Administrative and other duties
Monitoring, reconciling, and assisting with fiscal administration, including but not limited to travel documentation, monthly expense reports, and/or purchasing; may assist with current or long-term fiscal planning.
Managing the Director of Research’s appointment schedule and arranging for meetings.
Facilitating communications; logging and prioritizing mail, calls, and other contacts.
Coordinating travel arrangements for the Director of Research.
Assisting with preparation and distribution of meeting agendas, minutes, and other assigned documents or letters.
Performing other administrative or related duties as assigned
Occasional travel within and outside of Thailand may be required.
Qualifications:
Degree: Bachelor’s degree in a health- or management-related field preferred.
Experience: Minimum five years of prior administrative and research or program support experience, preferably including working with international organizations/partners in health-related activities. Experience with clinical research management and regulatory document preparation preferred. Knowledge of HIV/AIDS (e.g., epidemiology, community impact) helpful.
Languages: Proficiency in written and verbal Thai and English.
Other skills: Excellent communications, organizational, and computer skills. Proficient in MS Office Suite (i.e., Outlook, Word, Excel, Powerpoint). Ability to prioritize and manage multiple tasks, and to work both independently and as part of a team. Good problem-solving skills, and able to take the initiative to meet program needs. Detail-oriented, reliable, and flexible.
