We are currently seeking qualified candidates for the position of : Administrative and Financial Associate in Research Unit.

 

Job Summary / Responsibilities:

The Administrative and Financial Associate is primarily responsible for providing support to clinical research and Laboratory Sciences related activities. This position will work in close collaboration with Research and Laboratory Sciences staff as well as Finance, Travel and CMS staff at Asia and Pacific Regional Office (APRO), sponsors, research sites, consultants and FHI 360 country and HQ offices to provide successful and efficient support. General duties include administrative and travel support, checking and verifying financial records including purchase requests and invoices as well as other administrative, financial and accounting duties.

 

DUTIES AND KEY RESPONSIBILITIES:

 

Accountabilities:

-Works closely with Research and Laboratory Sciences to ensure the efficient operation of the clinical research activities.

-Serves as the focal person of the unit and ensures the flow of information.

-Uses systems and processes to assure timely and smooth flow of work including developing and implementing project and program tracking tools.

-Organizes meetings, travel, and special events and prepares meeting/training materials as requested.

-Sets up teleconferences and meetings for internal and external communications, distributes call and meeting details, and prepares agendas and minutes for the communications.

-Assists research staff with sending out communications to sites and partners.

-Assists in the preparation and checking of Purchase Orders.

-Prepares and monitors monthly expenditures for projects including checking that the correct cost codes are used.

-Helps to check that Purchase Orders raised by projects match project budgets, in particular for the Defeat TB project in Kyrgyzstan.

-Assists with the reviewing of invoices and budget progress reports.

-Works with project leaders to resolve problems associated with expenditure and budgets.

-Establishes and maintains systems to monitor and track budgets and project deliverables.

-Ensures that the responsible activities are implemented in a timely way consistent with FHI 360’s professional

standards.

-Consults, informs, and discusses with Director or Project Manager on assigned activities and relevant issues.

-Performs other relevant duties as assigned.

 

Supervision Given/Received:

:      Has no supervisory responsibility. Receives instructions on new assignments. Reports to a Manager or Associate Director.

 

 

QUALIFICATIONS

 

Education*:

-BS/BA and 3-5 years relevant experience in a business setting, or

-MS/MA and 1-3 years relevant experience in a business setting

-Associate Degree or equivalent in finance or accounting

* Or an equivalent combination of relevant education and/or experience sufficient to successfully perform the key responsibilities of the position.

 

Experience*:

-BS/BA and 3-5 years relevant experience in a business setting, or

-MS/MA and 1-3 years relevant experience in a business setting

-The above to include 3-5 years accounting or finance experience

-Excellent written and spoken English

 

APPLIED KNOWLEDGE AND SKILLS

 

-Knowledge of general office practices and administrative procedures

-Knowledge of concepts, practices and procedures for Generally Accepted Accounting Principles, budgeting and fiscal control

-Excellent analytical skills

-Demonstrated spreadsheet skills

-Relevant software skills to include Word, PowerPoint, Excel, Outlook, website management and internet searching/researching

-Resourceful through use of technology and administrative skills to resolve issues and create efficiencies and simple systems.

-Respond to inquiries independently and follow-up on requests in an efficient and timely manner.

-With minimal supervision manage high volume of work-flow effectively.

-Good management skills and ability to monitor projects, set up priorities, and plan for successful program implementation.

-Ability to verify and analyze financial data, identify errors and prepare reports.

-Excellent interpersonal and team work skills.

-Excellent written and spoken English.

-Ability to work independently with minimal supervision.

 

TYPICAL PHYSICAL DEMANDS:

-Typical office environment. Ability to sit and stand for extended periods of time; ability to lift 5-50lbs.

 

 TECHNOLOGY TO BE USED :

 -Personal Computer, Microsoft Office (Word, Excel, PowerPoint), e-mail, telephone, printer, calculator, copier, scanner.

 

TRAVEL REQUIREMENTS: Less than 10%.
