Administrative Assistant Urgently Needed
Philanthropy Connections Foundation (PCF), an international charitable foundation working in health, education and poverty alleviation is recruiting for a ThaiEnglish speaking administrative assistant to join our office in Chiang Mai. Candidate must have a background in administration and bookkeeping, be highly organised, possess good writing and computer skills and be fluent in Thai and English. This is a fulltime paid position based on education and experience.
Key Responsibilities
Administrative:
● Prepare reports and other related documents for foreign staff/volunteers for visa and work permit application
● Deal with Thai authorities (e.g. Immigration Office, Labor Office, Tax office, etc.) and assist foreign staff/volunteers in dealing with Thai authorities (e.g. visa and work permit renewal or application, tax return, etc.)
● Prepare yearly report to present to District Office
● Translate documents from Thai to English and viceversa
● Keep the filing system organised and up to date (both electronic and paper)
● Updating and maintaining existing Workbooks database (CRM) system for all donors and contacts
● Inoffice administrative work and human resource
Financial Administration:
● Updating accountancy system for staffs’ expenditure (e.g. receipt bookings, record keeping)
● Collaborating with accountants, preparing and coordinate to have financial related documents in order
● Update online donation spreadsheet (DocData)
Projects Administration:
● Assist with preparing, and coordinate to have project administrative materials in order (e.g. proposal, MOU, budget, payment request, receipts, etc.)
● Coordinate payments to projects
● Monitor and update project calendar
● Organise and prepare visits to projects
● Keep the project administration filing system organised and up to date (both electronic and paper)
● Assist in projects as they arise
Skills Required
● Strong Thai and English language skills
● Strong communication skills
● Very organised and resourceful
● Good MS Office and other computer skills
● Basic bookkeeping knowledge
● Good interpersonal skills and ability to be a team player

● Experience working in multicultural setting a plus
● Prior experience working for NGO/ interest in community development and nonprofit administration a plus
Education & Experience
● University degree in relevant subjects (Business Administration or other relevant)
● 1 Year experience working in a secretarial or administrative role or equivalent background
