The ICRC regional delegation in Bangkok provides assistance to victims of violence and works with authorities in order to improve the conditions in detention facilities. It also endeavours to promote and to strengthen humanitarian law and universal humanitarian principles.
We are looking for a
Junior Reservation Officer/Junior Seminar/Event Facilitator
Hotel & transport reservations + seminars/conferences arrangements
This post will be under the supervision of Administration: Hospitality/Welcome Department based in Bangkok. Our department is responsible for the visa, hotel, car booking and follow-up of domestic and international flights in a very fast-pace environment. It also organizes the welcome of new national and international staff. Finally, this department is in charge of the organization of seminars, conferences and meetings taking place mainly in Bangkok.
Within this dynamic and international context, we are looking for a junior secretary in order to join the team.
Your main responsibilities
• Make reservations for transportation and Hotel
• Organise seminars, meetings and facilitate the overall assigned event under his/her responsible
(e.g. preparation of documents such quotation, price comparisons, itineraries, tickets, relevant to the assigned projects)
• Arrange Thai visas and work permits in collaboration with Thai ministries
• Assist in processing visa forms and obtaining visas from foreign embassies in Bangkok
• Maintain physical and electronic filing and keep assigned database up-to-date.
• Perform other administrative tasks such as update of lists, typing, mail preparation and distribution
• Perform other secretarial duties as required
Your education and experience
• Secretary diploma or equivalent work experience
• Good computer skills (Word, Excel, Lotus Notes)
• Good command of written and spoken English
• Minimum 1 year working experience in hotel administration/event organizer/travel industry such
as flight ticket and visas.
• Capacity to work under pressure
• Capacity to propose pragmatic solutions
