HR & Admin Assistant (Urgently Required)

TBC works with conflict affected communities in SE Burma/Myanmar and 9 refugee camps in Thailand building preparedness for return and reintegration of displaced people. Through

local partners and community led processes, TBC supports access to Food, Shelter, Capacity Building for Community Management, and rehabilitation of conflicted and affected communities.  Now we are seeking HR & Admin Assistant to join the team. 

Job Purpose: This position will provide day-to-day professional HR and general administration related support and services to the employees of TBC in alignment with TBC’s organization strategy and direction.

Type of Employment /Location: Regular hired/ Bangkok

Reports To: HR & Admin Specialist

Job Responsibilities:

  • Maintain the HR database and generate scheduled or requested reports to assist management.
  • Update employee phone directory and company organization chart and maintain a database of employee contact information.
  • Keeps employee records up-to-date by processing employee status changes in a timely manner.
  • Maintain personnel files and documents in a well-organized manner.
  • Process enrollments, changes, and terminations of TBC employees in all benefit plans and programs such as insurance. 
  • Ensure all compensation and benefits are in place according to the TBC policy; and that all employees access information and benefits as they are entitled.
  • Assist employees with any benefit claim issues or concerns.
  • Seek training courses and training service providers in accordance with TBC’s training roadmap
  • Assist in organizing and managing schedules and logistics for trainings.
  • Enter training records into a database and maintains it.
  • Track the implementation of TBC’s performance management process.
  • Assist in recruitment process for job posting, initial screening, communicating with candidates during the selection process up to final selection, making an appointment with the candidates, and prepare interview documents.
  • Make sure that the work space, computer and other equipment, mailbox, and appropriate installed software are ready for the new employee's start day.
  • Engage TBC employee through effective communication approach and channels so that staff will understand TBC’s direction and policy. 
  • Assist in implementing other employee engagement activities such as annual staff meeting.
  • Assist HR & Admin Officer to prepare and renew employment contract and consultancy service agreement.
  • Assist in conducting research or seeking information in relation to HR policy, process and tools as assigned and prepare the information in the forms of reports.
  • Participate in HR & Admin meetings and attend other meetings as necessary or as assigned.
  • Support visa and work permit application process for international staff and their dependents.
  • Coordinate with Ministry of Interior and TBC’s Field Officers to support all camp pass process and permission letters as per request.
  • Process insurance application and renewal for TBC assets.
  • Provide other forms of support as required and/or requested by HR & Admin Specialist.

Job Requirements:

  • Bachelor degree in related field
  • Age between 28-35
  • At least 3 years’ working experiences in supporting HR & Admin function
  • Working experiences in an NGO environment is a plus but not a must
  • Must possess strong interpersonal and communication skills
  • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
  • Must be able to prioritize and plan work activities as to use time efficiently
  • Must be well-organized, accurate, and thorough
  • Quick learner and team player
  • Sense of confidentiality a must
  • High computer literacy essential (Word, Excel and PowerPoint)
  • Good command of written and spoken English
  • Thai Nationality only
