Job Title: half-time Finance and Administrative Officer

Location: Chiang Mai

Start Date:       ASAP

Hours: 18 hour per week. Days and hours flexible but must be from Monday to Friday and between 9am - 5pm.

Reports to: Director

About Karen Hilltribes Trust

The Karen Hilltribes Trust (KHT) is a community led organisation working with vulnerable Karen living in Mae Hong Son, Thailand’s poorest province. Our mission is to empower Karen communities to improve their health, livelihoods and education through projects designed, built and maintained by the communities with support from an experienced local team. Our approach achieves results which are high in impact, low in cost and sustainable.

Position description

The position of Finance and Administrative Officer (FAO) is a new position based in Chiang Mai. The FAO will work closely with the Director to support the project team based in Khun Yuam, Mae Hong Son Province, and coordinate with the KHT administrator based in the UK for smooth financial and administrative oversight. This position is an exciting opportunity to be an important part of a small focused team. 

Responsibilities

Finance

  • Track and record donations within Thailand
  • Track and record expenses within Thailand
  • Review and analyse monthly projected/actual expenses
  • Assist with yearly budgeting process
  • Maintain regular contact with the UK and Khun Yuam offices regarding income and expenditures
  • Contribute to the development of monthly, quarterly and annual financial reports as needed
  • Assist with yearly auditing as required 

Administrative

  • Maintain electronic and hard copy filing system
  • Assist KHT Director with travel arrangements, reimbursements, procurements and other administrative duties
  • Prepare necessary documents and liaise with Thai officials regarding visa and work permit for two foreign staff based in Thailand
  • Prepare necessary tax documents
  • Work with Khun Yuam office to maintain an updated record of KHT assets and inventory
  • Communicate with donors on receipt of incoming funds as requested
  • Manage Thailand staff leave/employment records
  • Maintain calendar including deadlines, travel and staff leave
  • Occasional travel to Mae Hong Son for staff meetings

Requirements

  • Bachelor degree in finance, accounting or administration  
  • Minimum 2 years professional work experience including finance and administration
  • Good communication skills and willingness to learn
  • Good written and spoken English; Karen language skills a plus
  • Previous experience working with NGO, CBO or Trust a plus
