About the program:
ASEAN–Australia Counter Trafficking (ASEAN-ACT) continues Australia’s long running collaboration with ASEAN and its member states to end human trafficking in our region. The program will principally work on strengthening the justice sector response to human trafficking, while opening up new partnerships with allied government agencies, civil society and business. It will engage all 10 ASEAN Member States in some capacity and will continue national-level programming in Cambodia, Indonesia, Lao PDR, Myanmar, the Philippines, Thailand and Vietnam.
Objectives
The Program and Office Assistant (POA) will assist the Operations Manager (OM) and the Logistics Coordinator (LC) in a range of activities which may include administration, finances, logistics, and human resources.
Roles and Responsibilities
The POA will ensure that the program’s internal and external information and documentation systems are of the highest quality and that information is accessible to all stakeholders. Based in the Program office in Bangkok, the POA will be responsible for developing and managing the Program library of information and materials for use by program staff, counterparts and stakeholders. The POA will also support program reporting and research as required. Specifically, the POA will:
Administration Support
- Assist supporting activities with photocopying and binding of documents; supervising the arrangement of the training/meeting venue; liaison with the venue manager;
- Support the Logistics Coordinator with appointments, travel reservations, confirm appointments for LTAs and STAs as required;
- Establish, purchase, and maintain an inventory of essential office consumables such as office supplies and stationery;
- Support the Thailand country team on an ad hoc basis with activities, under the direction of the OM;
- Support the Communications and Knowledge Coordinator with communications tasks including by not limited to website support, SharePoint updates and other content development;
Records Support
- Attend to office filing and record maintenance;
- Maintain staffs leave requests and timesheets (print out for approval, scan and send back to project offices);
- Organise existing resources / information materials;
- Identify and fill any gaps through the collection and collation of additional resources / information materials;
- Maintain reports register including consolidation of reports from other project offices and assist with reporting;
- Develop and maintain the Program document register;
- Develop, consolidate, and maintain library catalogue and keep the documents in electronic files;
Information Technology Support
- Arrange quotations and recommendations for procurement of IT hardware and software to the OM as required;
- Set up and support IT software and hardware for personnel and office equipment including maintenance, working closely with the OM;
- Support personnel with IT issues in the Bangkok office on an as needed basis; and
- Other duties as directed by the OM;
Selection Criteria
Qualifications
- Bachelor’s in Business Administration, Liberal Arts or any other related fields; and
- At least 2-year experience of relevant office work.
Essential
- Demonstrated IT skills including experience in MS Office (Word, PowerPoint, Excel and Outlook) and SharePoint. Knowledge of, or willingness to learn, the program’s web content management system;
- Demonstrated experience in human resource management, including checking of timesheets, and maintaining of leave tracking;
- Demonstrated ability to administer general office duties such as filling, maintaining, and monitoring office documents;
- Good interpersonal, teamwork and communication skills and able to maintain good relationships with colleagues and external counterparts and stakeholders;
- Ability to work under pressure whilst ensuring accuracy and attention to detail;
- Excellent organisational skills with demonstrated experience in assisting to organise meetings and events including arranging travel and logistics; and
- Strong written and oral communication and interpersonal skills including good written and oral English and Thai language skills.
