Communication and administrative Officer

in Chiang Mai

 

The IOGT-NTO Movement Sweden is currently looking for a Communication and administrative officer to our regional office in South East Asia, located in Chiang Mai.

As Sweden's leading organisation working to reduce harms caused by alcohol and other drugs, we offer an opportunity to contribute to a world where people can live a free and rich life. The IOGT-NTO Movement see the use of alcohol and other drugs as development barriers, in order to contribute to the democratic development and reduced poverty. 

Our head quarter is located in Stockholm, Sweden, and beside the regional offices in South-East Asia we also have one in East Africa.  Together with our partners we work in East Africa with policy advocacy and community development to reduce the harms from alcohol and other drugs. In South-East Asia we currently support ten partner organisations in six countries: Thailand, Myanmar, Cambodia, Laos, Malaysia and Vietnam.

Responsibilities:

You report directly to the Regional Director at Chiang Mai office. You will be responsible for communication and media, administration, finance, and human resource. Specifically, your responsibilities will be:

 

  • Responsible for and work with the Sweden office for all things related to communication and media for the purposes of brand building, awareness and advocacy.

  • Work with the Regional Director to develop, implement and maintain the communications plan.

  • Manage all communication platforms including social media and other digital and/or traditional forms of media for the purposes of brand building, awareness and advocacy.

  • Maintain a social media calendar and work with the South-East Asia office counterparts to produce all required communications materials for relevant social media platforms.

  • Assist in training, maintaining working relationships with key stakeholders, including national and local governments and local media.

  • Manage procurement process including purchasing of office equipment and update Asset list

  • Renewal of office license, office rental contract, office insurance, and office car insurance.

  • Provide logistical assistance for trips and events; e.g. ticketing, accommodation, venue arrangement, local transportation, meetings, etc.

  • Manage petty cash payment, petty cash record, monthly cash count report.

  • Create Payment Voucher for all payments and ensure proper supporting documentation such as purchase request, approval, invoices, receipts, contracts with suppliers/vendors, etc.

  • Support HR in Sweden office to update current Thailand regulations about personal income tax, insurances, and benefit.

  • Assist with maintain, complete, orderly and accurate filing all employment matters such as employee database and others, including those related to Human resources

  • Assist with legal documentation for foreigner staff e.g. visa renewal and work permit.

  • Support of programme activities under the direction supervision of Programme officer and Regional Director.

 

 

Education:

  • Minimum Bachelor degree in information and communication, business administration or similar subjects

 

Skills required:

  • One years of experience on communication and administration at International NGO

  • Experience of liaising with authorities and government.

  • Good computer knowledge (Word, Excel, Outlook, etc.)

  • Excellent in Thai and English, orally and written.
