Position:  Event Coordinator

 

Assignment duration: Fixed term 12 months with possible extension

 

Duty station: Bangkok with in-country travel may be required

 

ROLE PORPOSE:

The Event and International Visitors Coordinator will plan, organize, manage, and coordinate international events, visits and meetings held in and around Bangkok.

 

DIMENSION OF THE ROLE:

 

Oversees all events and meetings associated with Plan International in Thailand

 

ACCOUNTABILITIES:

 

Event and international visitors Coordination:

  • Logistics for external meetings and events as per Plan procedures to ensure high quality and cost-efficient meeting facilities, event service accommodation for participants;
  • Ensures meeting organizers receive support in meeting preparations including hotels, accommodation, arrival services, invitations and facilities;
  • Undertakes procurement processes and service contracts with hotels and event organizers to obtain cost effective event and meeting services;
  • Supports meetings on site as needed;
  • Assists meeting participants receive required support to obtain visa and entry to Thailand as needed;
  • Hotel security assessments and security briefing as required.

 

Other Administrative Support:

  • Assist the Manager in preparing related reports, as assigned;
  • Other administrative and office operational support services, as assigned by the Manager

 

Dealing with Problems:

  • Ensuring administrative policies and procedures are complied with consistently
  • Providing advice and guidance on simple queries related to people management policy and procedures
  • Managing competing demands
  • Requirement to handle the multiple-tasks and day-to-day operation effectively

 

Standards applicable to all staff:

  • Complies with corporate policies and standards - Child Protection Policy, IT Policy, Anti-Fraud and Corruption Policy, Confidentiality Policy, Code of Conduct, whistleblowing, HR Policies and Procedures;
  • Attends internally and externally facilitated trainings to enhance level of performance;
  • Maximize the use of ICT for greater awareness of local and global trends affecting development work;
  • Accepts special objective assignments for skills enhancement and expansion;
  • Shares learning to benefit others.
     

KEY RELATIONSHIPS:

Internal:
Primary contact with the Admin Manager, ARO
Finance – for the processing of payment
Other staff in ARO

External:
Service Providers, suppliers, Travel agencies

 

TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE:

  • Degree or equivalent with 3 years’ experience with event management/ organization, administration or similar capacity is preferred
  • Confidentiality, reliability and punctuality
  • Flexible and service-minded
  • Able to manage competing demands
  • Ability to build strong relationships with staff at every level
  • Computer literate with proficient use of all Microsoft Office applications
  • Good command of spoken and written English
  • Team player, comfortable with working with people from different cultures
