Job Advertisement: Project Assistant – Safe School Project

Position: Project Assistant – Safe School Project
Assignment duration: Fixed term 3 years
Duty station: Chiang Rai

Role Purpose: The Project Assistant will assist Disaster Risk Mangement (DRM) Manager and DRM Coordinator to plan, implement and monitor Safe Schools project activities in targeted schools, and support routine coordination with Safe School Working Group (SS-WG) and relevant GOs and CSO network in local and national level. Also, Project Assistant provides effective back office support for assigned administrative and communication tasks as well as occasional field support to Coordinator and consultant team with project beneficiaries and key stakeholders to meet the project’s goals, objectives and expectations as outlined in the project proposal, and in accordance with Plan International’s policies and procedures.
ROLE AND RESPONSIBILITIES:
Planning

  • Assist PM in preparing detailed implementation plan (DIP), project information, activity data and overall project management documentations
  • Support preparation and revision of the project action plan, communication plan, and MER plan according to the new Program and Influencing Quality Procedure Policy (PIQP).
  • Assist Coordinator and project manager in planning and implementing assigned field activities.

Management and Operations

  • Provide back office supports for the project team. Coordinate logistic, administration, financial procedures to ensure smooth activity implementation.
  • Assist Coordinator and project manager in administrative and coordination tasks and when conducting field activities.
  • Assist in preparing project’s progress report to ensure timely submission. Maintain project database/M&E tacking sheet to ensure documentation, records and filing of activities/meetings beneficiaries, project financial files and records are up-to-date.
  • Involve in facilitating project team meetings weekly, quarterly review meeting and project monitoring.
  • Support coordination in emergency response procedure with DRM Coordinator, focal point person and other staffs.
  • Work with other program team members to address other cross-cutting issues.

Communications and networking

  • Initiate and maintain strong communication and dissemination of project key messages and deliverables among; project beneficiaries, key stakeholders and SS-WG members using offline and online communication platforms.
  • Engage in influencing meetings / events with government sector and non-government sectors.
  • Liaise and develop networks with IOs, NGOs and government agencies for the purposes of information exchange, strategic operations and networking as assigned.

Others

  • Ensure that Plan International’s Child Protection Policy and related procedures are adhered to in all aspects of work.
  • Perform relevant tasks as assigned by direct supervisors.

KEY RELATIONSHIPS
Internal: Project team, Program team, Finance and admin team, APAC and NOs staffs
External: Teachers, school principals, local government agencies, Safe Schools Working Group, Thailand Safe Schools Network, Child Right Coalition Network and media agencies

Skills Specific to the Post Holder

  • Effective project communication using offline and online platforms

  • Ability to stay productive in all working conditions and environment

QUALIFICATIONS AND EXPERIENCE:

  • University degree or equivalent on Social Sciences, Communications, Business Administration or Public Administration.
  • Demonstrated strong communication in both English and Thai is required.
  • No work experience is required. Or 1-2 year experience with NGOs or in fields related to community development, disaster risk reduction, climate change, environment or ecological sustainability is an advantage.
  • Demonstrated strong interest to work with children and youth in disaster risk reduction, climate change adaptation and/or ecological sustainability.
  • Competent ICT users for Basic software (e.g. MS Office), mobile applications and be able to handle more advance graphic tools such as Photoshops (or equivalent) and movie maker software. Be able to engage audience and deliver communication through social media platforms (Facebook, Line, etc.)
  • Demonstrated quality of team player and self-learner with originality, self-motivation, flexibility and leadership
