Background

Norwegian People’s Aid (NPA) was founded in 1939 as the labour movement's humanitarian solidarity organisation with approximately 14000 members in Norway and a total of 2500 employees working in more than 30 countries around the world. NPA’s core areas are International Development, Humanitarian Assistance, Humanitarian Mine Action and Disarmament, First Aid and Rescue Services and International Solidarity, Anti-Racism & Inclusion. In all our interventions, we continuously work to reduce our climate- and environmental impact.

NPA works with local partner organisations in humanitarian response, and uses its own operational capacity as a leading mine action operator to provide protection against explosive weapons. Where there are few viable local alternatives for urgent response, we also provide direct humanitarian assistance.

We are seeking a highly organized and efficient Office Administrator to join our team. The Office Administrator will play a crucial role in ensuring the smooth operation of our office and providing administrative support to various functions. The ideal candidate will have excellent communication skills, attention to detail, and a strong sense of professionalism.

Responsibilities:

  • Manage petty cash according to established procedures, ensuring accurate records and appropriate reimbursement.
  • Handle printing, copying, scanning, filing, and uploading of documents, both in electronic and physical folders, ensuring proper organization and easy accessibility.
  • Support in arranging meetings, trainings, and workshops, including scheduling, venue coordination, and logistical arrangements.
  • Coordinate the maintenance of office equipment, including liaising with service providers for repairs and maintenance.
  • Prepare documentation for procurement, payments, and vouchers, ensuring compliance with relevant policies and procedures.
  • Contact and follow up with suppliers and service providers, including ordering office supplies and managing inventory.
  • Assist with visa processes and support the printing process of office documents as needed.
  • Provide general support to daily administrative operations, ensuring smooth functioning of the office.

 

Perform any other necessary duties within limited time period when requested by the immediate supervisor and/or Country Director. The tasks and responsibilities might be changed during the contract period due to operational needs. This will be discussed with the employee and will be revised accordingly.

Required qualifications:

  • Thai Nationality Only.
  • Bachelor's degree in a relevant field.
  • Service-minded with good practical skills, demonstrating a proactive and helpful attitude.
  • Excellent communication skills and proficiency in English, both written and verbal.
  • Good knowledge of Microsoft Office applications (Outlook, Excel, and Word) and internet/intranet usage.
  • Experience in a similar administrative position is an advantage, showcasing the ability to handle multiple tasks and prioritize effectively.

Experience:

  • The applicant must have minimum 3 years work experience in relevant field, whether local or international NGO and/or Private sector. Preferably field experience as well as Head Office experience.
  • Ability to act independently to identify and analyze problems and recommend effective solutions.
  • Experienced user in Microsoft Excel, Word, and windows-based accounting software.
  • High level of both spoken and written English.
  • High level of social communication skills and good skills in teamwork.
  • Ability to motivate and engage your team to provide the best possible support to the organisation and its partners.
  • Flexibility and positive attitude with a good sense of humour!
  • Focus on a high level of communication and information flow within the NPA team and with partners.
  • The position involves occasional travel to the field, so you need to be fit for travel and the different conditions in the field.
