Position Title: Operations Assistant

Chemonics seeks a Operations Assistant for a USAID-funded project in Thailand. Chemonics International is a US-based international development consulting firm operating in over 80 countries. The Operations Assistant is responsible for providing administrative support to Chemonics’ offices in Bangkok and Mae Sot, including but not limited to travel logistics, human resources (HR), finance, procurement, contract management and office administration. We are looking for individuals who have a passion for making a difference in the lives of people around the world.
Principal Duties and Responsibilities
The Operations Assistant will have the following tasks and responsibilities:
- Fulfill all office administrative duties.
- Assist with travel, visas, accommodation, and logistical arrangements for all project-related travel.
- Deliver adequate, timely administrative and logistical support to the technical team, as needed and in coordination with Project Assistant
- Support the procurements process including, but not limited to developing requests for quotations, pre-evaluation of offers, and selection of service providers, awarding & coordinating on delivery and payment in compliance with Chemonics policy and USAID rules and regulations.
- Update and manage performance tracking system(s) for the service providers.
- Assist in the recruitment process, onboarding of new hires, and related tasks.
- Support and ensure compliance with the project’s Journey Management Plan and any other relevant guidelines.
- Regularly update project filing systems and maintain administrative trackers, including the inventory tracker, among others.
- Support the coordination of project events.
- Support the processing of payment requests for all service contracts and subcontracts.
- Support project team on ad-hoc activity coordination and administrative arrangements.
- Liaise with government authorities, private partners in maintaining collaborative relationships and effective workflows under overall guidance of the Operations and Finance Director.
- Fulfill other administration functions as required.by the Operations and Finance Director.
Required Skills and Qualification
- A bachelor’s degree or equivalent in business administration, project management, international development or a related field is preferred.
- Three years minimum relevant work experience as an Administrative Assistant, Procurement Assistant, and/or related fields is preferred.
- Experience working with intergovernmental agencies, private sector, or NGOs is an advantage.
- Excellent communication and organization skills with demonstrated ability to work with diverse individuals and groups to serve as a major point of contact across multiple remote teams.
- Experience and knowledge in collecting and analyzing data of the relevant tasks.
- Ability to track and manage multiple tasks concurrently, making regular use of productivity and organizational tools.
- Professional proficiency in working with Microsoft Office (MS Excel, Word, Outlook & PowerPoint). Experience in using any other office software is an advantage.
- Excellent administrative and organizational management skills with attention to detail and the ability to handle multitask in a changing environment.
- Excellent project and deadline management skills.
- Able to handle ambiguity and maintain a flexible and positive approach.
- Ability to work both independently and as part of a team.
- Fluent written and verbal communication skills (English & Thai). Ability to speak additional languages a benefit.

Supervision and Reporting
The Operations Assistant will report directly to the Operations and Finance Director.
Location of Assignment
This position is based in Bangkok, Thailand, with regional travel as required.
