Context:
The International Organization for Migration (IOM) Regional Office for Asia and the Pacific (ROAP) in Bangkok, Thailand oversees and provides strategic and technical support to IOM activities within the region. Within the RO Bangkok structure, the Regional Resources Management Unit (RRMU) provides support to 40 IOM Country Offices (COs) within the region.
Under the overall supervision of the Regional Human Resources Officer (RHRO) and direct supervision of the Executive and Admin Assistant, the incumbent provides services to the Regional Office for Asia and the Pacific in terms of chauffer and messenger services including vehicle care and general clerical support.
Core Functions / Responsibilities:
1. As assigned by the supervisor, provide chauffer services for officials/staff of the Regional Office using IOM office vehicle(s).
2. Keep a daily log sheet on usage, mileage, and fuel consumption; submit a report at the end of each month summarizing the statistics.
3. Manage the day-to-day maintenance of the assigned vehicle(s) to ensure roadworthiness; ensure that the vehicle(s) is fueled and clean prior to departure for each trip assignment.
4. Ensure that the vehicle(s) undertake regular service intervals and keep records of spare parts and consumables; inform the RO procurement unit for any repairs needed.
5. Ensure that proper safety measures for the assigned vehicle(s) are in place following IOM safety guidelines; familiarize him/herself with steps required by IOM as well as local rules and regulations (pertaining to driving) in case of involvement in road accidents, and ensure such steps are followed as applicable.
6. Keep a high degree of confidentiality and discreteness in discussions, which involves IOM and its officials. Take proper actions to reduce potential security threats to IOM officials and/or property within the immediate vicinity of the vehicle and along transport routes.
7. Provide messenger services for the Regional Office; collect and deliver documents/parcels to/from the post office, banks, UN or government agencies, embassies and other locations as assigned.
8. Familiarize with applicable visa request procedures for various countries and keep records for reference.
9. Assist in general clerical tasks such as packing/unpacking and dissemination of documents/parcels, photocopying documents, preparation of handout packages during workshops/conferences, etc.
10. Perform such other related duties as may be assigned.
Required Qualifications and Experience
Education
• High school degree/certificate with minimum 2 years of relevant working experience or Bachelor’s Degree from an accredited institution.
• Valid national driver’s licence.
Experience
• Knowledge of driving rules and regulations.
• Experience in driving a variety of makes and models of vehicles
• Skills in minor vehicle repairs.
• Knowledge of computer, radio, email, telephone and other applications.
Skills
• The ability to work independently
• The ability to coordinate different stakeholders
• Basic knowledge on Microsoft Office applications
Languages
• Fluency in English and Thai languages is required.
