POSITION: Operations Associate

LOCATION: Mae Sot, Tak, Thailand

TYPE: Full Time   

CONTRACT LENGTH: 1 year (pending 3-month probation review)

START DATE: As soon as possible

REPORTS TO: Deputy Director

DESCRIPTION

For high-quality, inclusive, and equitable educational opportunities (as outlined in UNESCO’s 4th Sustainable Development Goal) to be provided for all children, InEd looks to close the gap through contextualized capacity building, educational system strengthening, community-based solutions, and data-driven advocacy. Through ongoing research, we seek to continually improve our projects and evidence both our impact and the challenges faced in marginalized communities. We also want to give back to communities in need. Through fundraising, we are committed to responding to needs in our communities as they arise: ensuring we stay relevant and always listening to community voices.

Based in Mae Sot, Thailand, the Operations Associate works across all project teams to ensure timely, transparent, and accurate human resources and admin-related tasks. The Operations Associate is responsible for staff record keeping and works with Project Managers to support procurement activities. The position also supports InEd’s HR Manager in implementing HR policies and guidelines. Overall, the Operations Associate serves as a bridge between employees and the organization, supporting personnel-related issues and supporting InEd’ strategic goals related to its workforce. 

 

CORE RESPONSIBILITIES

  • Support HR processes including managing personnel documentation, in close coordination with the HR Manager.
  • Lead staff recruitment and orientation processes. This includes posting job vacancies, screening resumes, scheduling interviews, coordinating among staff, and developing the orientation schedule. 
  • Maintain updated employee records, including personal information, employment contracts, and performance evaluations.
  • Coordinate staff travel arrangements
  • Organize and facilitate quarterly staff professional development events and meetings. 
  • Track and manage staff leave, compensation, health plan reimbursement, and benefits.
  • Oversee workplace safety and health programs, ensuring that the workplace is safe and compliant with occupational health and safety regulations.
  • Support the Project Managers with procurement procedures in accordance with organizational policy. 
  • Further responsibilities and tasks may be added based on organizational developments and needs.

QUALIFICATIONS  

  • Fluency in written and spoken Thai and English is required. Burmese or Karen fluency is considered as an asset
  • At least 1 - 3 years experience in an Admin or HR- related role 
  • Completion of accredited Admin programs is an asset
  • University degree in Admin or Human Resources field is an asset
  • Able to travel for work and support to project-related HR tasks
  • Competence in using information technology, work- procession spreadsheets and PowerPoint, and databases.
