Employment Duration      :           1 year with possible extension depending upon funding availability

ABOUT THE JOB: 

WEAVE is looking for a Finance and Administration Officer for its main office in Chiang Mai. The Finance and Admin Officer is responsible for the financial administration and management of WEAVE. This is a full-time post. 
 

RELATIONS: 
The WEAVE Finance and Administration Officer reports to the Executive Director and works closely with the Projects Officers. 

 

KEY RESPONSIBILITIES: 

Administration 

  • Take the lead in coordinating all financial transactions at WEAVE related to project activities and administrative work .
  • Maintain an effective, efficient, systematic and transparent financial management of WEAVE, including maintaining a computerized finance and admin filing and tracking (data management) system.  
  • Support in the capacity building of staff to be conversant with financial policies and procedures including cash and bank and reconciliations.
  • Assist Projects and Staff in proper financial management to ensure overall quality management of financial resources.
  • Prepare monthly payroll, insurance payments, tax payments and other financial documents. 
  • Support and coordinate on all areas of finance, administration, and human resource management with relevant staff. 
  • Participate in WEAVE meetings.

 

Bank, Cash and associated tasks 

  • Process and make payments as provided in the approved budget after ensuring that proper authorization is obtained for all disbursements. 
  • Oversee all accounting transactions including recording of codes of payment vouchers before disbursement and ensure proper filing system with supporting documentation for all transactions.
  • Take the lead in reviewing and reconciling monthly bank statements.

 

Finance Proposals, Reports and Audits

  • Provide assistance in the development of new project finance proposals. 
  • Preparation of monthly financial reports (e.g. income and expense and balance statements) as required by donors, based on agreements between WEAVE and the Donors.
  • Prepare consolidated Finance Report on a quarterly, semi-annual and yearly basis.
  • Prepare regular cash flow projections and spending reconciliations.
  • Provide regular financial analysis of all projects, raising concerns and offering appropriate recommendations to the Program Officers and Executive Director for future improvement. 
  • Ensure all financial reporting deadlines are observed, (i.e. payroll, reports from the projects, reports to donors, auditors, etc.). 
  • Coordinate, schedule WEAVE’s annual audit and provide all documents and supporting documents and reports as required. 
  • Conduct timely internal auditing of WEAVE finances in coordination with the Project Officers and Executive Director. 
  • Take the lead in ensuring that all procurement of goods, supplies, and services are in conformity with WEAVE and the donor procurement policies and requirements.
  • Perform other relevant tasks as maybe assigned by the Executive Director.

 

QUALIFICATIONS & EXPERIENCE: 

  • Bachelor’s degree in accountancy, business management and related fields. 
  • At least 3-5 years of experience in finance management. Working with NGOs is an advantage. 
  • Basic computer skills including Word and Excel in English version. Experience with computerized financial systems - importing and exporting data. Knowledge and experience of BC Accounting Software. 
  • Thai Citizen with ID card. 
  • Fluency in Thai, good written and spoken English. Ability to understand and write English-language reports and documents. 
  • Flexibility to adapt to change and work under dynamic conditions.
  • Good interpersonal skills and attention to details.
  • Good administrative skills and results-oriented approach to work.
  • English speaking skills and experience in an international working environment is essential.
  • Driving skills.
  • Possess flexibility and ability to work in a diverse and multi-cultural team.
