About the Position
3a. Operations Manager
As part of the Management Team, the Operations Manager is responsible for maintaining and supporting APCOM’s operational duties. The position holder shall foster a culture of compliance, accountability and ensure that organisational resources are used in the most cost-effective manner. This position requires a high degree of confidentiality in dealing with personnel and finance matters. The person must be courteous and have a professional approach towards staff. The Operations Manager is also the lead for the Operations Unit and will be responsible for supervising the staff within the Unit.
3b. Components of Operations Manager’s responsibilities
- 3.1 b. Organisational Strengthening : Build, maintain and strengthen APCOM Foundation's administrative processes, internally and externally, also developing and updating policies, procedures, and their operationalisation. This will include management of the administrative and operations team, and an eye for understanding how to evolve donors, partners and stakeholders and organisational systems, supported by various tools such as Google and Microsoft.
- 3.2 b. Finance Oversight : Oversee the maintenance of bookkeeping, transactions, financial and management accounting, including financial planning with Quickbooks. Manage project allocation of all staff, payroll, as well as reporting on consultancy time allocations. Capacity to identify organisational needs and acquire resources, design systems and produce results to ensure healthy business insights, recommendations and strategy planning.
- 3.3 b. Human Resources: Establish, maintain, and manage human resource processes, including recruitment, performance management and contract completion steps. This will also include an internal employee management system which supports wellbeing and learning and development opportunities.
- 3.4 b. Social Marketing: Support the co-creation of a Social marketing and communications strategy, both internal and external, in collaboration with the Executive Director and the Communication Team. Support implementation of the communications plan.
- 3.5 b. Team Management: Recruiting, onboarding, building and strengthening a growing operations team, to support the full and expanding functioning of the organisation. This will also entail managing and supporting the team to function as the administrative and operations support for the rest of the organisation, integrating and cultivating organisational values, deliverables and motivation.
4. Skills and Qualifications
- Advanced university degree in Business Administration, Operations Management, Social Sciences, International Development, Economics, Financial or related fields, combined with relevant professional training and qualifications.
- At least 8 years professional progressive experience in similar, multi-faceted functions in an international organisation, at least 5 of which involve similar senior experience of operational management of projects or Programmes with Strong background and work experience in Non-Government Organisation will be advantageous.
- Able to work effectively and comfortably in LGBTIQ - related environments with a matrix structure, requiring strong communication, organisation & negotiation skills.
- Substantive project operational management experience, including detailed working knowledge of human resources, procurement, communications, finance, project management, asset management and logistics.
- Exceptional planning, organisation, time management and coordination skills with an attention to detail.
- Proven experience in supervising/managing people and teams.
- Skilled in culturally-adaptive communication, and excellent professional written and self- presentation style as well as excellent at communicating through online platforms, virtual meetings, and email.
- Excellent level of fluency in spoken and written English, and being fluent in any other languages is a distinct advantage.
- Proficient level of computer literacy, particular in a broad range of online management and communications tools.
- Creative innovator, with ability to take initiative in proposing and setting up new systems of work.
- Capacity to work independently in a remote, virtual setting and to develop solutions to complex problems.
- Demonstrates a high level of ethics and integrity.
