Administrative Officer

Permanent

Based in Bangkok


 

The Administrative Officer  is responsible to perform as a providing administrative assistance of the Office in supporting Thailand's smooth operations. Also provide the administrative support for purchase requisition of asset/non-asset from the related staff and responsible for the invoice data entry.

Key Duties:

  • Serve as the primary contact point for Greenpeace Thailand, coordination of all forms of communication and administrative support to GPSEA colleagues.

  • Facilitate purchase requisitions for assets and non-assets and manage all aspects of travel arrangements, ensuring compliance with policies and cost-effectiveness.

  • Oversee maintenance of office equipment, management of office supplies, utilities, and the upkeep of office spaces and meeting rooms.

  • Handle asset management, including inventory updates, condition monitoring, and the disposal process, along with managing and reconciling credit card usage under AO supervision.

  • Responsible for centralized invoice processing, maintaining accuracy and reliability in the finance system, including input of detailed invoice information.

  • Ensure that all reservations (transportation, insurance, accommodation, etc.) are made on time.

  • Timely update invoices and credit card usage in the finance system.

  • Ensure that procurements are processed on time


 

Requirements:

  • Service minded person

  • Time management, able to handle multi-function and work under tight schedule

  • Effective communication skills (written and oral) in Thai and English

  • Excellent computer skills such as MS Words, Excel, power point.
