Malteser International is a German non-governmental organization providing humanitarian assistance and development aid for people in need more than 40 countries globally. Malteser International is currently working with temporary refugee shelters and surrounding villages in Sob-Moei district, Mae Hong Son province in Thailand. Our office located in Mae Sariang is looking for an efficient, motivated and experienced individual for the position as Program Administrator
Duty Station: Mae Sariang District
Work locations: Mae Sariang District, Mae Hong Son Province
Duration: One year (with possible extension of contract)
Salary range: 60,000 THB (+ benefits)
Main Responsibilities and Duties (shortened version)
- Supervise and lead the Thailand Program Support Unit (Finance, Logistics, Procurement, and Administration) to timely provide support to the Program, and reports to HQ.
- Ensure proper filing of administrative, financial, logistics, and procurement documents in accordance with the MI rules and regulations as well as MI internal online system.
- Provide overall authorization on behalf of the TPSU functions to support Country Representative’s final approval of various processes.
- Facilitate TPSU Team Annual Quarterly Workplans including setting of goals.
- In close collaboration with the Country Representative, Field Operations Coordinator and Project Coordinator facilitate coordination between operations and program teams including organizing regular budget review meeting, procurement planning meeting, etc.
- Ensure financial monitoring and reporting of all (self-implemented) projects with Thailand in timely manner.
- Provide oversight and guidance to the Procurement Officer to ensure compliance of procurement regulations by MI and Donors.
- Closely work with Logistic Officer to ensure timely inventory reporting to HA and updating of inventory and stock materials.
- Support the Admin Officer to efficiently communicate approval processes with Local, Provincial and Central level authorities.
- Ensure effective financial coordinator with main regular communication with (local)partners, in close collaboration with relevant responsible MI coordinator.
- Conduct expenditure verifications and feedback to local partners assigned and reporting on funds provided by Malteser International.
Essential Qualifications/Skills:
- Master’s degree in business administration, accounting and similar, preferably with additional training in relevant logistical fields.
- 5 – 7 years of experience working with finance function in development or humanitarian context with UN agencies or INGOs.
- 5 – 7 years of working experience with procurement within development or humanitarian sector.
- Experience in working with stock warehouse management, supply chain, inventory control and transport coordination.
- Proven experience in general office administration
- Good at and simultaneously focusing admin, finance, and logistic fields
- Familiarity with IT operations and being computer literate especially in Microsoft applications (Word, Excel, and PowerPoint).
- Excellent command of English and Thai, both spoken and written.
