Title of the Position: Project Officer
Category and Grade: General Service
Term of Appointment: Three Years
Duties and Responsibilities: Under the supervision of the Knowledge Management Manager
The Project Officer will work under the supervision of the Knowledge Management Manager and will be responsible for supporting various tasks related to project management and knowledge management initiatives within the organisation and will perform the following tasks:
Project Management Support
- Assists in the planning, coordination and execution of projects under the guidance of the Knowledge Management Manager.
- Provides technical assistance to team members, helping to prepare and monitor project plans and documentation.
- Collaborates with project teams to gather and organise project-related information and documentation.
Knowledge Management Assistance
- Supports the Knowledge Management Manager in maintaining and updating knowledge management systems, databases and repositories.
- Assists in the organisation and dissemination of information and resources to relevant stakeholders.
- Contributes to the development of knowledge management strategies and initiatives to enhance organisational effectiveness.
- Maintains the contact lists for key contact partners and network for information dissemination including invitation.
Communication and Event Support
- Develops and manages digital content for websites and social media using advanced tools, including Generative AI, to enhance outreach and engagement.
- Coordinates logistical and administrative support for events, conferences, and meetings, serving as a point of contact for project-related inquiries.
Administrative Duties
- Performs general administrative tasks including scheduling meetings, managing correspondence, and maintaining organised files and records.
- Drafts and prepare official communications, such as letters, speeches, and event summaries, leveraging Generative AI tools to optimise content creation.
- Assists with other duties as assigned by the Knowledge Management Manager or senior management.
- Performs other related duties as may be assigned by the Centre Director.
Qualifications and Experiences:
- Master’s degree in a relevant field (e.g., communications, project management, business administration) or equivalent work experience
- A minimum of three years of experience in project management, preferably in educational projects.
- Excellent command of both spoken and written English.
- Have very good command of both spoken and written English, with a valid TOEIC score of 785 or equivalent, is a plus
- Strong organisational and multitasking skills, with the ability to prioritise tasks effectively.
- Proficiency in Microsoft Office suite, familiarity with project management tools and methodologies, and experience in using Generative AI for content creation.
- Strong interpersonal skills, with the ability to interact effectively in a multidisciplinary and multicultural environment.
- Must demonstrate the ability to work effectively within a team and maintain sound physical and mental health.
