Logistics and Administration Assistant
Sustainable Fish Asia Technical Support (SuFiA TS) Activity
The United States Agency for International Development (USAID)-funded SuFiA TS Activity, implemented by Tetra Tech International Development (www.tetratech.com/intdev), is currently accepting expressions of interest for a Logistics and Administration Assistant (LAA). This position will be located in the main office in Bangkok, Thailand. The project end date is 23 November 2025
Under the direct supervision of the Director Administration, Finance (DAF), and working in close collaboration with the Administration, Finance Specialist (AFS), the Logistics and Administration Assistant is responsible for the performance of logistic, administration, procurement, and general services duties and tasks in direct support of administration, finance unit and program activities and events.
Responsibilities:
Logistics:
- Coordination of trainings, meetings, and workshops in collaboration with AFS, technical staff and consultants, including venue inspection and space organization to ensure all aspects are well-organized before and during events.
- Manage and coordinate travel arrangements, air ticket reservation and accommodations for staff, consultants and participants.
- Support the preparation for virtual, physical and hybrid training, meetings, workshops, and related activities.
- Preparation of relevant event documents and materials such as sign-in sheets, M&IE receipts with signature, name tags, event kits, and other required documents.
- Preparation and disbursement of local and international participants’ travel payments.
- Liaise with vendors, venues and suppliers to provide necessary services and equipment.
Administration:
- Preparation of purchase requisition for goods and services.
- Solicitation, compilation, review of quotations for the provision of goods and services.
- Coordinate printing and reproduction services for reports, training materials, brochures, banners, and similar items, identifying qualified service providers.
- Review Travel Request and Expense Reports for SuFiA TS staff and consultants.
- Dispatch and receive courier shipments; deliver and route messages and other correspondence to project staff.
- Maintain documentation and filing systems in accordance with SuFiA TS standard and procedure.
- Coordinate with the office building management in case of emergency and office utilities malfunctioned.
- Provide general support to daily administrative operations, ensuring smooth functioning of the office.
- Other tasks may be assigned by SuFiA TS Chief of Party, DAF and AFS in support of SuFiA TS activities.
Qualifications:
- Bachelor’s degree in finance or administration is preferred; equivalent relevant work experience will be considered.
- Two years or more experience performing the same or similar principal duties and tasks outlined. Prior experience working on USAID-funded projects is preferred but not required.
- Detail-oriented, quick learner with the ability to work independently and meet deadlines, with minimal direct supervision.
- General English language professional proficiency in writing, reading, speaking, including the ability to speak English sufficiently to participate effectively in most formal and informal conversations, and the ability to read English within a normal range of speed and with almost complete comprehension.
- Intermediate to advanced level of proficiency in the use of Microsoft Office applications, including Word, Excel, and Outlook.
- Possesses tact, integrity, and ability to work effectively in a fast-paced environment, multi-cultural setting; flexible and adaptable to changing circumstances and conditions.
- Availability to perform intermittent domestic and international travel as needed for program activities.
- A team player with suitable interpersonal skills.
