TERMS OF REFERENCE

Graphic Designer for Annual Reports

 

Job title: Graphic Designer

Location: Home based

Start date: 14 October 2024

Final deliverables date: 16 December 2024

 

SCOPE OF WORK

The Consultant will provide a short-term service as Graphic Designer assisting the Monitoring, Evaluation, and Learning (MEL) Officer to lay out two reports using a template and style guide provided by SEAOHUN. The services shall include:

  1. Transfer of text from Word documents of 95 to 110 pages total for one report and 85 to 100 pages total for one report into the layouts;
  2. The consultant shall read documents provided by SEAOHUN and design an icon representing “One Health in Southeast Asia”, infographic icons and Southeast Asian visual elements;
  3. Updating of the Southeast Asia map to show the current universities in the eight country networks;
  4. Identification of suitable illustrative photos from among those supplied by SEAOHUN based on relevance to subject, composition, technical quality of the image and other artistic considerations; when needed, identification of suitable illustrative photos from online commercial sources such as Shutterstock for review and possible purchase by SEAOHUN; and
  5. Incorporation of edits to text.

 

EXPECTED DELIVERABLES AND TIMELINES

The consultant will provide the following deliverables during the contract period, based on discussions with the MEL Officer and inputs from the Senior Public Engagement Officer:

a) Draft layouts with all texts, and icons, in Adobe InDesign and PDF format for review and editing by SEAOHUN by October 20, 2024.

b) Proof-read layout with all text, photos, icons, graphical elements in InDesign format, and section headers by October 27, 2024.

c) All designed icons and visual elements by November 15, 2024, in two digital vector formats: 1) high-resolution and optimized for printing; 2) medium-resolution and optimized for visual display.

d) The consultant may be asked to revise some text or elements during the period from November 16 to December 16, 2024.

e) The consultant may be asked to revise some text or elements once for each report after the reporting period.

The final deliverables are two reports with 95 to 110 pages long, and 85 to 100 pages long, A4 spread, with a section front and back cover, optimized for visual display, in PDF and Adobe InDesign formats.

The consultant will report to the MEL Officer for this work.

 

TIMING AND PAYMENT

The work is expected to commence during 14 October – 16 December 2024, and the number of working days should not exceed 20 days. The consultant is expected to deliver the final deliverables no later than 16 December 2024.

The full payment will be upon submission of the final deliverables and are approved by SEAOHUN.

 

SUBMISSION

Interested consultant must submit the cover letter, quotation for cover pages, lump sum for 1-110 pages (excluding photos pages) for one report and lump sum for 1-100 pages (excluding photos pages) for one report. Extra cost per page for above lum sum pages must also be submitted to the following email address secretariat+recruitment@seaohun.org and copy to wahwahlwin@seaohun.org using the Subject line “Apply for the Graphic Designer Job for Annual Reports” by 26 July 2024 (11:59 p.m. ICT). This will be evaluated based on the following criteria:

  1. Academic Qualifications: Degree in fine arts, design, or related field.
  2. Experience: At least 10 years’ experience in lay-out and design of publications for development organizations, including production of detailed technical graphs and figures, icons and infographics.
  3. Familiar with USAID branding and guidelines is highly desirable.
  4. Language: Good command of written and spoken English.
  5. Work Ethic: Quick turnaround of outputs, close coordination with client during design phase.

SCOPE OF WORK

The Consultant will provide short-term services as a Graphic Designer, assisting the Monitoring, Evaluation, and Learning Officer in laying out the proceedings of the 2024 SEAOHUN International Conference using a template and style guide provided by SEAOHUN. The proceedings shall include the front matter, messages, profiles of key people, logos of sponsors, conference program, and abstracts. The services shall include:

  1. Identify and develop a suitable style for the conference proceedings that aligns with SEAOHUN themes.
  2. Design an image for the cover, with the cover having a matte finish.
  3. Incorporate edited text from a Word document, estimated at 200 pages, into the layout.

 

EXPECTED DELIVERABLE AND TIMELINES

The consultant will provide the following deliverable during the contract period, based on discussion with the MEL Officer:

  1. Draft structure/layout with placeholders for text, photos, icons and other images in PDF format for review by SEAOHUN by August 9, 2024.
  2. All designed visual elements by August 15, 2024 in two digital vector formats: 1) high-resolution and optimized for printing; 2) middle-resolution and optimized for visual display
  3. The consultant will be asked to revise some text or elements during the period from August 16 to September 9, 2024.

The final deliverable is the proceedings of the 2024 SEAOHUN International Conference, estimated to be 200 pages long, A4 spread, with a front and back cover section, optimized for visual display, in both PDF and Adobe InDesign formats.

The consultant will report to the MEL Officer for this work.

 

TIMING AND PAYMENT

The work is expected to commence during 5 August – 9 September 2024, and the number of working days should not exceed 10 days. The consultant is expected to deliver the final deliverable no later than 9 September 2024.

The full payment will be upon submission of the final deliverable and is approved by SEAOHUN.
