Reach for Equity focuses on helping communities affected by conflict, violence, and displacement in remote and hard-to-reach contexts and marginalized by poverty and exclusion.

 

Primary Responsibilities

Administration Management

Operations and Administration

  • Ensure the staff VISA renewal process and work permit before expired and checked the status as monthly basic
  • Support the coordination of HR and admin activities undertaken for donor grants.

Office Management

  • Manage day-to-day administrative activities for the office.
  • Support Admin and finance manager to prepare lease agreement and facilitate payments for office
  • Support Finance and Admin Manager to prepare lease agreement and facilitate payments for office and be focal to communicate with owners as necessary.
  • Manage, provide, procure, and maintain stationery/office supplies and equipment.
  • Be responsible for regular office maintenance for office.
  • Coordinate the suppliers, vendors, and service providers to support activities
  • Arrange petty cash replenishments and maintain the agreed level of cash in hand       for disbursements.
  • Act as petty cash custodian of office and check relevant financial documents for replenishment of petty cash system.
  • Any other tasks assigned by the supervisor.

 

Logistics Arrangements

  • Manage and arrange for travel, training, workshops, and meetings.
  • Manage and handle travel arrangements of staff, consultants, and visitors (such as booking of flight and accommodation and vehicle arrangements)

 

Coordinate with the Thailand Admin Team

  • Make sure of physical count of inventory in the office annually and submit update inventory reports monthly.
  • Check office supplies, equipment, assets, inventory, properties, and furniture.
  • Coordinate and manage all asset lists that are kept up-to-date and all details of assets are recorded properly in the office monthly.

 

Human Resource Management

Recruitment

  • Assist to Sr. HR & Admin Manager in the hiring managers for the organization's recruitment process.
  • Assist to Sr. HR & Admin Manager in the recruitment processes are running effectively and efficiently.
  • Assist the respective hiring manager with the proper recruitment process.
  • Assist to Sr. Admin & HR manager in the recruitment-related documents are properly kept and auditable.

 

Onboarding & Offboarding

  • Assist to Sr. HR & Admin Manager in facilitating the general onboarding process of the new staff orientation session.
  • Coordinate the orientation package for the employees is ready at the time of the first working day.
  • Facilitate the orientation arrangement for the new staff on a monthly basis.

 

ESSENTIAL SKILLS

  • Bachelor’s degree in business administration/human resources or a related field
  • At least 3 years of experience in a related position and NGO work is a plus
  • Excellent verbal, reading, and written communication and presentation skills, in both Thai and English.
  • Knowledge and experience of the process for handling visa applications and the work permit process in Thailand.
  • Good coordination, service mind, and ability to manage simultaneous priorities under deadlines.
  • Experience working in a multicultural.
  • Ability to handle sensitive confidential information.
